JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Pennsylvania State University Eberly College of Science is seeking an Administrative Assistant-intermediate support. The selected candidate will be a detail-oriented and organized individual who will primarily perform administrative planning and coordination of dean's office events, conferences, lectures, and receptions. This position will also assist with financial functions to support the college's dean's office to include scheduling meetings, processing financial forms and purchasing card transactions as well as provide back-up administrative support for the dean as needed. These various tasks will be performed with minimal supervision.

The selected candidate will also be responsible for:

  • Assist with the planning and coordination of dean's office events, conferences, lectures and receptions, and meetings for the dean's office.
  • Development and distribution of college-wide financial communications regarding updates and upcoming deadlines.
  • Ensuring accuracy of documents being submitted for processing.
  • Assist in organizing and scheduling office meetings, virtual and in-person appointments.
  • Providing exceptional customer service to departments in the college.
  • Assist with preparation and processing of various reports, orders, and financial forms using SIMBA and SAP Concur.
  • Coordinating calendars, organizing pertinent databases, confidential files and systems.
  • Performing complex and confidential administrative duties and responsibilities.
  • Provide backup administrative support to the dean of the college by handling confidential emails and correspondence, phone calls, calendaring and scheduling, preparing documents, and other duties as assigned.

Excellent interpersonal and organizational skills are essential, along with the ability to work both independently and as a member of a team.This position also requires basic computer knowledge and skills and excellent communication (oral and written) skills. General computer skills and proficiency with Microsoft Office (Word and Excel) is required.

This position offers a flexible work arrangement that combines remote and on-campus work. Questions related to flexible work should be directed to the hiring manager during the interview process.

This position requires a minimum of a High School Diploma/GED or Vocational Training/Degree and 2+ years of relevant experience, or an equivalent combination of education and experience.

The salary range for this position, including all possible grades is:

$38,300.00 - $55,500.00
