Job Details:

Purpose

Support all human resources efforts for the School of Civic Leadership, ensuring outstanding customer service to all constituents, and compliance with all federal and state laws, university policies, and internal practices.

Responsibilities

HR Processing:

  • Create all Civic Leadership HR business processes for faculty, staff, students, and affiliates including but not limited to new positions, reclassifications, salary adjustments, assignments, reappointments, and visiting scholar requests. Process employee personnel actions including, but not limited to, on-boarding (including I-9 processing), separation/off-boarding, annual performance appraisals, off-cycle salary adjustments, re-classifications, leave management, and workers compensation.

Training and Support:

  • Plan and facilitate training on human resources related issues. Provide School of Civic Leadership orientation to new employees. Ensure compliance and consistency across units with all policies, procedures, and laws. Assist with drafting, reviewing, and revising internal HR related policies and procedures. Participate in School of Civic Leadership and University work groups to provide input into policies and processes. Attend and participate in meetings and workshops offered by the Workday and Human Resource Services teams, and other meetings and trainings as appropriate. Provide one-on-one ad hoc training and support to users of HR systems.

Recruiting:

  • Facilitate and manage all stages of employee recruiting. Create Job Requisitions and manage internal and external postings. Coordinate with hiring managers and interview committees, managing applicant pools and advancing applicants through Workday. Create and maintain recruiting records for all recruiting efforts. Correspondence, Document Maintenance and Retention.

Reporting:

  • Run and perform regular reviews of HR Reports including time, compensation, end dates, and eligibility as well as any report in support of mass processing.

Correspondence, Document Maintenance and Retention:

  • Serve as first point of contact for HR inquiries, promptly responding to all emails, handling requests, or assigning to the appropriate party. Appropriately process and handle sensitive personnel paperwork, ensuring confidentiality at all times. Maintain all HR documents on UT Box. Create and maintain HR SOPs.

Administrative Support

  • Serve as back-up to the Assistant Dean and Chief Business Officer, as needed. Attend committee and consortium meetings when needed. Attend HR Collaborative. Assist in providing workforce analysis, forecasting, planning, budgeting, and other HR statistical and reporting project needs. Other related duties as assigned.
Required Qualifications
  • Bachelor's Degree: Human Resources, Business Administration, Public Administration or related field.
  • At least 5 years of experience in a human resources function.
  • Extensive experience with effective communication, problem solving, and service excellence.
  • Working experience with conflict management, decision making and critical thinking, tactical and strategic project and process planning and execution, and relationship management.
  • Comfortability navigating executive and academic hierarchies.
  • Fluency and comfortability navigating Workday, DEFINE, and other HR-related university systems, offices, and processes.
  • Relevant education and experience may be substituted as appropriate.

  • Experience in Dean or VP office at UT Austin
Salary Range

$65,000 + depending on qualifications

Working Conditions
  • May work around standard office conditions.
  • Repetitive use of a keyboard at a workstation.

Retirement Plan Eligibility:

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
