Position Summary

As a core member of the Global People Team, you are tasked with helping White & Case translate our business strategy into talent imperatives that deliver on our vision of profitable growth, engaged people and outstanding client relationships.

The People Advisory Coordinator supports the People Advisory team across a variety of both administrative and strategic HR priorities including annual performance management and compensation cycles and the new hire onboarding experience. You will act as the first line of HR administrative support for our employees across the Firm's Corporate legal sections in the Americas. By supporting the Firm's employment life cycle, you will have the opportunity to interact with all levels of employees on a variety of topics.

The tracking and reporting of People data is a critical part of our daily work. You will have opportunities to help globally align processes and procedures to drive greater operational efficiency while gaining a foundational understanding of our HR operating model and reliance on interdepartmental collaboration to support the Firm culture and engagement.

You will work collaboratively across the People team by sharing best practices, leveraging backgrounds and skills sets to achieve a cohesive one-team and ultimately one-Firm experience. Duties and Accountabilities1



  • Update and maintain employee records in various HR systems, including Taleo, PeopleSoft, viDesktop, and other internal systems of record
  • Ensure accuracy of data entry in various HR systems and collaborate with various HRIS teams to prepare reports of employee data used for a variety of recurring and ad hoc initiatives
  • Respond to employee inquiries regarding standard Firm policies and procedures
  • Manage the Form I-9 verification process, including verification of I-9 documentation for new hires and inbound transfers, collaborating with the HR Compliance team to ensure best practices for I-9 record keeping
  • Monitor activity and prepare regular reports on HR activity including hiring, terminations, transfers, and mobility assignments within and between the regions for both internal HR and Practice Group use
  • Support the new hire experience by overseeing the on-boarding procedures of all Legal professionals, ensuring each is provided with the necessary communications, resources and orientation sessions and facilitating a seamless experience welcoming new employees to the Firm
  • Conduct the weekly New York office new hire orientation and integration programs on behalf of the People Advisory team
  • Monitor new hire compensation activity and manage entry of payment requests, including sign-ons, ad hoc, and referral bonuses for employees
  • Monitor bar admission status and support the bar admission change processes for each employee, including record maintenance, bar exam and licensure invoice processing, and responding to questions around policies and procedures
  • Collaborate with the Benefits team to provide comprehensive employee service and support the full employee lifecycle, including advising on leaves of absence, paid time off, etc.
  • Assist with separation of employment procedures including PeopleSoft data entry, paperwork preparation, and coordinating departure procedures with multiple teams across the Firm
  • Participate in exit interviews, reporting regularly on the data gathered from those interviews and making recommendations for employee retention
  • Support the People Advisory Managers on key annual initiatives including, but not limited to, performance evaluations and compensation reviews
  • Exercise good judgement and act with discretion to identify and escalate complex, matters in a proactive manner to the People Advisory Managers
  • Contribute to building and fostering a collaborative, collegial, high performing team committed to professional excellence
  • Perform other miscellaneous tasks as assigned by the People Advisory Managers in support of the employee experience



Qualifications



  • Associate's degree required; Bachelor's degree preferred
  • At least two (2) years of Human Resources experience, preferably in a professional services environment working across regional, global or remote cross-border teams
  • Experience with HR Shared Services and Centers of Excellence operating models
  • Experience with data management and maintenance, including use of Microsoft Excel for reporting and analytics
  • Self-motivated and achievement oriented; calm and resilient; comfortable working in a fast-paced environment
  • Open minded, analytical, and collaborative with a consultative approach
  • Excellent interpersonal, written, and oral communication skills
  • Excellent business acumen and administrative skills
  • Highly organized and able to manage competing/conflicting priorities effectively to achieve a way forward; ability to work in a high demand, deadline driven environment
  • Strong analytical, organizational, communication and interpersonal skills



Location and Reporting



  • This is a hybrid role based in our New York office with a requirement of three (3) days in-office per week.
  • This role reports to the People Advisory Manager.
