Summary:

Responsible for various aspects of hospital-based patient access management to include the day-to-day management of people, process and technology associated with each area of the department to include Admitting, Authorization, Pre-registration, Financial Counseling, Emergency Department Registration (Akron and Mahoning Valley), and select outpatient services.

Responsibilities:

  1. Accountable to the Patient Access Director.
  2. Responsible for the day-to-day operations of Patient Access and assigned supervisors that oversee the ED, Admitting, Authorization Center and Financial Counseling.
  3. Operationally, responsible for managing departments that run continuously, seven days a week, which may include on-site coverage and on-call rotation.
  4. Regular travel to all facilities to have an on-site presence to provide support and observe workflows is an essential requirement of this role.
  5. Provide leadership and guidance to the Patient Access supervisors, including input on hiring, training, and performance management.
  6. Monitor productivity and quality metrics to assess performance and identify areas for improvement while holding staff accountable.
  7. Establish and ensure standard work documentation is updated and available to all teams.
  8. Participate in organizational initiatives as needed to provide Patient Access insight.
  9. Responsible for the management of specific job functions for assigned staff to assure compliance and customer service standards are met.
  10. Collaborate with supervisors and Access Trainers to ensure materials and training meet the needs of the team.
  11. Responsible to verify all Epic work queues and processes are completed in a timely manner.
  12. Adherence to regulatory and compliance rules associated with work processes as required by JCAHO and other regulatory authorities.
  13. Coordinate cross training of staff to support multiple functions and locations in the event of system outages and staffing level fluctuations.
  14. Work collaboratively with physicians, hospital operations, revenue cycle and technical teams.
  15. Continuous improvement of workflows to improve or enhance efficiency, accuracy, and patient satisfaction.
  16. Other duties as assigned.

Other information:

Technical Expertise

  1. Strong communication skills (written and verbal), interpersonal, organizational, and problem-solving skills required.
  2. Working knowledge of human resources principles and organizational skills is required.
  3. Strong data analytical skills preferred.
  4. Experience using Microsoft Office Suite tools such as Excel, Word, and PowerPoint required.
  5. Background in which patient experience processes were managed of adherence to patient experience protocols required.
  6. Operational demands and hours work would require on-call and availability at non-traditional business hours.

Education and Experience

  1. Bachelor's degree in Business, Management or Health Care Field or the equivalent in work experience required.
  2. Years of experience: Five (5) to Seven (7) years' experience required.
  3. Supervisor Experience: Five (5) years preferred, managing high volume and complex healthcare systems required.
  4. Certified Healthcare Access Manager (CHAM) preferred.
  5. Certified Revenue Cycle Representative (CRCR) preferred.
  6. Epic System experience preferred.
