JOB SUMMARY, DESCRIPTION & QUALIFICATIONS:

Job Summary

The Central Services Assistant supports the Facilities team by processing incoming and outgoing mail and shipments with a focus on accuracy, quality, and timely handling. This role collaborates across the College and assists with selling equipment through public surplus auctions while maintaining regular communication with vendors, staff, and external partners.

Reporting to the Supervisor of Custodial & Central Services, this position follows a standard schedule of Monday through Thursday, 11:30 a.m. to 4:30 p.m., and Friday, 11:00 a.m. to 4:00 p.m., with flexibility required for workload fluctuations and evolving College needs.

Essential Functions and Responsibilities

The following duties are primarily performed and are essential for this position. Employees are expected to be able to perform each of these job duties satisfactorily and successfully with or without reasonable accommodation.

Shipping & Receiving

  • Coordinate and process shipments via USPS Parcel Post, UPS, FedEx, US Mail, Common Carrier, and Airfreight, ensuring accurate and timely handling.

  • Inspect all incoming shipments for damage, accuracy, and quality, and document items in the inventory system.

  • Address and resolve receiving discrepancies promptly and appropriately.

  • Safely operate material handling equipment, including carts, hand trucks, pallet jacks (manual and electronic), forklifts, and platforms.

  • Maintain a clean and organized shipping and receiving area, free of clutter and debris.

Mail Room & Delivery

  • Process and manage all incoming and outgoing mail, including time-sensitive and large items requiring staff pickup.

  • Perform daily mail runs to designated locations, such as the Center for Health Sciences building.

  • Maintain accurate records of postage, shipments, and mailing activity.

  • Operate mail room equipment, including postage scales, efficiently and ensure compliance with U.S. Postal Regulations.

  • Provide mailing guidelines to staff and prepare end-of-month postage reports reflecting business reply mail, bulk mailings, and UPS shipments.

Administrative Office Duties

  • Perform clerical tasks, including scanning office files into electronic systems using scanners.

  • Manage fleet vehicle reservations and distribute keys to staff.

  • Provide backup support for the Facilities Management team as needed, including answering emergency phone lines and dispatching staff.

Asset Inventory

  • Verify customer receipts against paperwork for items ordered from the Public Surplus Auction website and distribute them accurately.

  • Photograph and record college-wide equipment and assets, maintaining electronic storage of this information.

Minimum Qualifications Required

In limited circumstances, NTC may consider a combination of education, training, and experience which provides the necessary knowledge, skills, and abilities to perform the duties of this position.

Education: High School Education / GED

Provide Any Additional Information Regarding the Required Education (e.g., Field of Study, specific coursework, etc.)

Additional Experience Information:

  • Proficient in utilizing Microsoft Suite, Outlook, Workday, and Adobe

  • Familiarity with operating office equipment such as copiers, scanners, multi-line phone systems, handheld radios, and postage scales

  • Skilled in the operation of a variety of equipment, including forklifts, manual and electric pallet jacks, and fleet vehicles of different sizes

Knowledge, Skills and Abilities

In order to perform the functions and responsibilities of the position (listed above) the following knowledge, skills, and abilities, including language skills, reasoning and mathematical abilities are essential.

Language Skills:

Ability to read, write and comprehend simple instructions, emails and memos; discuss information one-on-one and in small groups.

Ability to accurately add, subtract, multiply, and divide in all units of measure; compute rate, ratio, and percent.

Reasoning Ability:

Ability to apply common sense understanding to carry out written, oral, or diagrammed instructions; solve problems involving several concrete variables in standardized situations.

Technical Skills:

Ability to navigate to and between computer applications; read/reply to emails, open/save/close files and applications; find, format and print documents; operate common office equipment.

Customer Service Skills:

Ability to pleasantly initiate, maintain and end a conversation; act in a professional manner using appropriate language and body language.

Other Requirements

Applicants must have a valid Wisconsin driver's license and successfully pass NTC's motor vehicle background check. If not already secured, completion of a certified forklift operator course is mandatory. Additionally, candidates must undergo training for the electric pallet jack and attend a certified hazardous communications (OSHA) class within six months of being hired.
