Description of primary duties and responsibilities:

Primary Purpose of the Position:
The position's primary purpose is to perform various administrative, secretarial, and office support duties. The position requires knowledge of the office/work unit policies and procedures in order to communicate information involving programs, functions and services. Duties performed may include preparation of documents and reports, the use of office technology, compiling records, organizing and maintaining files; posting information, greeting/referring/assisting visitors /clients with information and resources, mail distribution, photocopying and other office duties and assignments. Completing work often involves a public contact role to obtain, clarify, or provide information regarding activities of the work unit or program. Positions may serve as the primary staff assistant to a department or program manager.
Minimum Education and Experience Requirements:
High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.
Knowledge skills and abilities:
This position requires extensive communication skills, both written and verbal, coordination of work, problem-solving skills, and knowledge of the departmental programs and services.

Demonstrated abilities in the following areas:

  • Excellent oral and written communication with various internal and external program constituents. This requires phone and data transmissions of communications. Accurately responding to inquiries. This may require the communication of policies and procedures, data, dates, times and locations, etc.
  • Assist clients with data input and output, as well as ongoing reports.
  • Knowledge and use of office technology equipment and information systems, including phone, fax, copier, scanners, Outlook, Microsoft Office Suite of Products, Banner Student, and Banner Finance.
  • Excellent event management skills, the ability to plan and facilitate the unit's activities, including record management and data compilation. This may include, but not be limited to, arranging vendor services, payments to vendors, receipt of goods and services, and proper documentation. Prepare data for migrations related to client projects according to the established plan and keep records of all projects. Initiate data improvement and data automation strategies based on regular assessment.
  • Must be able to identify problems and perform corrective actions. This may relate but not be limited to Banner finance issues and concerns that may arise in the daily operation and management of the office's administrative duties. Liaise with vendors, contractors, and employers to seek new ways to improve data systems or reduce costs of current systems and regularly troubleshoot processes to ensure the most time and cost-effective practices. Review and authorize any system changes affecting data maintenance, analysis, reports, or storage.
  • Must have knowledge of all programs within the unit and be able to communicate knowledge to internal and external constituents effectively. This may include but is not limited to answering questions of student guests to the office, faculty, administrators, vendors, company/corporate recruiters, and community members who have questions about the office's programs and services.
  • Regular analysis of data systems and maintenance of accurate records and establishing a protocol to share records with upper management, senior leadership, clients, partners, or other key stakeholders.
  • Must be able to monitor and reconcile budgets and track expenditures, including travel, travel reimbursements, purchases, and deliveries of goods and services. Help maintain the system maintenance and upgrades budget and stay updated on the most current licensing fees and qualifications.

Preferred Qualifications:
Bachelor's degree in related field with a minimum of four years of work with college students/or personnel.
