Senior Management Support Specialist

Job Purpose:

This position involves managing a variety of complex administrative tasks, including addressing high-level policy matters and resolving office-related challenges. The role requires interpreting and adapting guidelines, including unwritten policies, precedents, and practices, to ensure smooth operations. The incumbent will apply foundational concepts, processes, and procedures to technical assignments, develop methodologies, and present solutions to problems. Additionally, they will contribute to deliverables and performance metrics as needed, ensuring goals and expectations are consistently met.

Responsibilities:



  • Maintain and update project management process documentation and job aids to ensure compliance with current procedures.
  • Perform data collection, entry, analysis, integration, reporting, and forecasting to support key client processes, including capital planning, architecture/cloud hosting management, and configuration management.
  • Develop clear, concise written documentation and narratives in support of client operations.
  • Provide executive support through high-quality administrative and analytical assistance, including meeting coordination, logistics management, and document preparation.
  • Manage and maintain document control systems and processes using platforms such as Office365, SharePoint, and Microsoft Office.
  • Review executive orders, legislation, and other relevant materials to assess impacts (e.g., financial assistance implications) and track associated tasks and deadlines
  • Evaluate draft policies and guidance documents for consistency in formatting and grammar while providing feedback on clarity and structure.
  • Coordinate with internal teams to fulfill data requests, respond to data calls, and complete assigned tasks from leadership.
  • Develop and maintain a tracking/reporting mechanism for managing data calls and task assignments, ensuring all deadlines are met.
  • Follow up with assigned personnel to monitor progress and adherence to deadlines.
  • Assist in the development of presentations, including research, data compilation, and slide deck creation.
  • Perform other duties as assigned.


Qualifications:

  • Associate degree or higher in Business Administration or related field from an accredited college or university
  • Minimum 5 years of experience in a related field
  • Able to work professionally in a team environment and provide assistance and guidance to fellow team members, promptly and willingly
  • Serve in other teams or branches as directed and requested on an as needed basis
