PRIMARY FUNCTION:
The Education Programs Manager/ Administrator will manage the educational programs in the Department of Medical Oncology, including Undergraduate Medical Education (UME), Graduate Medical Education (GME) and Continuing Medical Education (CME). They will support the Director of Educational Programs, Medical Oncology as well as the program director for the Hematology and Medical Oncology Fellowship Program. They will have
responsibility for managing the other coordinators of educational programs within the department. This will include but not be limited to, coordination of clinical and didactic educational activities at all levels, training and supporting staff with responsibilities for UME, GME and CME. It also includes support for other trainees, including residents, students and visitors from other institutions and those requesting observer-ships. Coordination includes advance and contingency planning for student and faculty sessions, events, and meetings, as
well as effective problem solving to ensure smooth delivery of the GME and UME programs within the department. This person will work closely with the Hematology/ Medical Oncology Fellowship Program Coordinator (Education Coordinator III), so that both parties will be able to cover absences and vacations for each other.

With the growth of the Department of Medical Oncology within the Jefferson enterprise, and the status as an NCI Comprehensive Cancer Center, it is imperative that the educational programs exist at all levels to foster the clinical and research missions, the training of experts in our field and the maintenance of that expertise in our faculty/ attending physician staff. The administration of the educational programs includes working with coordinators at multiple
sites to facilitate: fellowship training for TJUH fellows as well as visiting fellows from nonTJUH sites, clinical and didactic training at Jefferson (TJUH and Center City campus) for TJUH residents and visiting residents from non-TJUH programs including other Jefferson sites, undergraduate medical training from SKMC, undergraduate university observers, non - Jefferson physician observers, CME activities for Jefferson physicians and by Jefferson physicians, and non-ACGME accredited advanced fellowships (e.g. Transplant and Cellular Therapy, Cutaneous T Cell Lymphoma).

Job Description

ESSENTIAL FUNCTIONS:

  • Coordinates and communicates faculty teaching/clinical supervision of trainees, evaluation of trainees and supports other faculty curricular needs as assigned
  • Manages UME, GME and CME coordinators in the Department of Medical Oncology. When there is not a specific coordinator in these roles, works with administration to find support (partial FTE) for specific tasks/ roles.
  • Fulfills the roles of UME, GME and CME coordinators when needed (e.g. absence, vacation).
  • Trains UME, GME and CME coordinators regarding scheduling, coordination of tasks, ACGME and LCME guidelines.
  • Works closely with the Hematology/ Medical Oncology Fellowship Program Director and Fellowship Program Coordinator to ensure that the program is successful, particularly during recruitment and onboarding.
  • Works closely and communicates regularly with trainees and faculty to maintain accurate and current databases of all documents, rosters, timelines, policies, procedures, and performance metrics in shared network folders to optimize team performance.
  • Interprets and applies ACGME requirements for multiple stakeholders including trainees, program director, associate program directors and faculty. Remains abreast of changes which include an understanding of the new milestones criteria and ability to apply it to fellow review and evaluation.
  • Anticipates and meets information expectations and deadlines of multiple offices and rotation sites to provide for a seamless fellowship experience, as well as resident and student experiences. This includes the Department of Medical Oncology, the Division of Hematology in the Department of Medicine, and all non-TJUH training sites.
  • Coordinates activities related to the resident process and experience which requires independent thinking, assimilation of information and formulation of recommendations to the Director of Educational Programs, Fellowship Program Director and other Administrators as needed.
  • Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson.

OTHER FUNCTIONS AND COMPETENCIES needed in addition to Essential Functions:

  • Responsible for calendaring/communicating schedules and assignments related to educational programs and complex meeting management requiring interaction and follow up communication with multiple participants
  • Organizes and coordinates meeting logistics including room reservations, catering, AV, and other necessary space accommodations.
  • Multi-task current and upcoming/future curricular components throughout the academic year
  • Works closely with the Hematology/ Medical Oncology Fellowship Program Director and Coordinator to manages the interview season and NRMP fellowship match, including communication with applicants and interviewers, maintaining THALAMUS & ERAS (Electronic Residency Application System) database and coordination of rank meeting.
  • Works autonomously and manages yet part of a team to balance competing priorities and deadlines providing excellent customer service and displaying behavior consistent with Jefferson values.
  • Provides support and meets regularly with the Director of Educational Programs and the Hematology/ Medical Oncology Fellowship Program Director concerning office management issues and activities and the status of projects. Identifies and evaluates the methods for improving workflow and cost effectiveness.
  • Develops, implements, and oversees the maintenance of filing, record keeping, and distribution of materials and other program systems
  • Perform administrative assistant functions when needed to support other faculty members in the Department of Medical Oncology and/or support projects in the Department of Medical Oncology.
  • Maintains a database of CME activities that can be provided by faculty and CME activities completed by faculty
  • Maintains a database of mentorship program activities and projects within the department.
  • Performs other duties as assigned by the Director of Educational Programs and the Hematology/ Medical Oncology Fellowship Program Director

EDUCATIONAL/TRAINING REQUIREMENTS:

  • High School Diploma or GED, Bachelor's Degree preferred.

EXPERIENCE REQUIREMENTS:

  • A minimum of 5 years prior related experience; higher education experience preferred.

ADDITIONAL INFORMATION:

  • High-level proficiency of entire Microsoft Office Suite, and learning management systems (i.e. Canvas ).
  • New Innovations, Epic (related to scheduling - not patient care), Zoom and other video conferencing platforms.
