Pay Rate/Range: The budgeted salary range that the University reasonably expects to pay for this position is $28.44 to $29.78/hour. Salary offers are determined based on final candidate qualifications and experience; the budget for the position; and the application of fair, equitable, and consistent pay practices at the University. The full salary range for this position is $28.44 to $40.76/hour.

Brief Summary of Job Duties:

Assists with all aspects of planning, analysis, implementation, and ongoing administration of the Development activities required to support a successful and complex Development Team (D-Team) in Gevirtz Graduate School of Education (GGSE). Manages online calendars, screens incoming calls, and makes travel/entertainment arrangements for D-Team; completes and tracks administrative paperwork related to gift processing and budget expenses in compliance with policies and procedures; supports with the generation of gift documentation, donor correspondence, and donor stewardship communications; maintains electronic and hard-copy files related to D-Team activities; compiles data and reports from various sources including Advance database, requiring high degree of initiative, confidentiality, discretion, and strong analytical/technical capacity; assists with planning and execution of donor events; supports D-Team social media activity and administrative tasks related to online community development; works collaboratively with various administrative support staff members from GGSE and Central Development; handles confidential, high profile, and time sensitive matters involving senior UCSB administrators, faculty, staff, collaborating institutions and the donor community, requiring discretion and highly professional written and verbal communication. #LI-KA1

Required Qualifications:

  • High school diploma or equivalent experience
  • 1-3 years using exceptional verbal and interpersonal skills that foster positive relationships with diverse populations.
  • Excellent grammar, composition and proofreading skills.
  • Excellent computer skills including proficiency in Word, Excel, PowerPoint, Internet and e-mail and demonstrated ability to quickly learn various software programs.
  • Ability to maintain strict confidentiality in all aspects of work.

  • Ability to work independently as well as work as part of a team.
  • Strong organizational skills and unfailing attention to detail and accuracy.
  • Ability to prioritize duties and achieve planned goals for a complex program.
  • Ability to work under tight and shifting deadlines.

Job Functions and Percentages of Time:

  • 40% Administrative Support - - As scheduling assistant to D-Team, identifies, coordinates and implements priorities, and resolves conflicting requests. Schedules appointments and arranges meetings with donors, community members, students, university officials, faculty, and administrators. Makes travel, entertainment, and meeting arrangements, including meetings and receptions held on campus. Scheduling activities may include arranging for catering, invitations, parking, room reservations and follow-up activity in coordination with events planning staff. Completes and processes all university forms for travel and entertainment, including approval requests, advances, vouchers and check requests. - Screens all incoming phone calls and mail for D-Team. - Maintains budget and donor files for the D-Team. - Reviews all department paperwork submitted for the D-Team, secures required signatures, ensures compliance with policy/audit requirements, and independently resolves problems related to administrative processes. - Provides coordinated administrative support for the D-Team, effectively anticipating and performing multiple tasks, recognizing and solving problems, facilitating a wide variety of requests, and managing demands in an environment of shifting priorities and deadlines. May be called upon to work occasional evenings or weekends at events hosted by the GGSE, the Development Office or Institutional Advancement, such as donor receptions, Foundation Board Meetings, or Commencement, etc. - Completes other duties as assigned.
  • 35% Fundraising & Donor Relations Support - - Reviews gift reports to: independently determine and execute related administrative tasks; and prepare donor correspondence and stewardship communications. - Compiles and reviews complex donor and gift data contained in the Advance database to independently design and produce comprehensive reports to: prepare the D-Team for personal solicitations and contacts with donors and prospects; develop travel priorities and engagement strategies. - Creates, shares, organizes, and analyzes data for various business purposes, using Advance, Excel, Word, PowerPoint, and other software. - Communicates with donors, prospects, volunteers, trustees, key university administrators, faculty, staff and community leaders. Discretely and professionally handles sensitive information and complies with all appropriate UCSB policies and procedures. - Creates and maintains electronic and hard-copy donor files for the D-Team, and uses data contained in these files to provide reports and executive level correspondence to assist in all aspects of fund-raising activities. - Performs preliminary research on prospective donors and acts as liaison to staff in Central Development Office to obtain necessary gift reports and background information for the interactions and meetings with senior administrators, faculty, trustees, donors and volunteers. - Organizes meetings on behalf of the D-Team with major donors, prospects, volunteers and senior administrators. - Prepares meeting materials using various software (MS Word, Excel, PowerPoint, PDF, etc.). - Tracks fund-raising goal deadlines. - Completes other duties as assigned.
  • 25% Strategic Communications & Outreach - - Supports in development of strategic communication, outreach and marketing materials for fundraising purposes for the GGSE. - Assists with the writing, synthesis, and production of GGSE donor-facing documents/messages including stewardship letters/notes and impact reports. - Assists with online audience development, communication, outreach, marketing, and public relations relating to development efforts for GGSE. - Works in close collaboration with D-Team and GGSE communications team on outreach efforts. - Supports the D-Team, GGSE communications team, and the Central development communications team to support audience development/online community expansion, consistent messaging, branding, and social media strategies. - Completes other duties as assigned.
