Job Summary

This position is responsible to provide effective customer service and achieve customer satisfaction by delivering services in a professional, courteous, and timely manner for our Department of State (DOS) Contract.

Primary Duties

  • Provide oversight of the Mail Messenger Operation.

  • Provide assistance to Staff on operations issues such as record keeping, training, risk management, and payroll entries.

  • Effectively manage administrative functions of DOS project such as coordinating logistics of all meetings, and overseeing administrative department and activities respectively.

  • Resolve customer complaints or answer customers' questions regarding policies and procedures.

  • Supervise the work of employees to ensure adherence to quality standards, deadlines, and proper procedures, correcting errors or problems.

Additional Duties

  • Provide employees with guidance in handling difficult or complex problems or in resolving escalated complaints or disputes.

  • Implement corporate or departmental policies, procedures, and service standards in conjunction with management.

  • Accomplish employee results by communicating job expectations; planning, monitoring, and appraising job results; coaching, counseling, and disciplining employees; initiating, coordinating, and enforcing systems, training, policies and procedures.

  • Train or instruct employees in job duties or company policies or arrange for training to be provided. Initiate job vacancies with HR, coordinate interviews and on boarding.

  • Evaluate employees' job performance and conformance to regulations and recommend appropriate personnel action.

  • Interpret and communicate work procedures and company policies to staff. Other duties assigned by supervisor.

  • Perform other responsibilities as assigned.

Qualifications: Education, Experience, and Certification(s)

  • High School Diploma, General Educational Development (GED) required.

  • Must have at least 8 years of direct experience.

  • Must successfully pass all pre- employment background screening requirements to include pre- employment drug screening.

  • Will be subject to a U.S. Government background check/investigation.

  • Must hold or be able to obtain and maintain a Top Secret security clearance.

Knowledge, Skills, and Abilities

  • Customer and Personal Service Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.

  • Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, production methods, and coordination of people and resources.

  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures and terminology.

  • Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.

  • Motivating, developing, and directing people as they work, identifying the best people for the job.

  • Basic ability to operate a computer using Microsoft Office software and accountable mail tracking system. Basic typing skills.

Specific vision abilities required by this job include close vision, distance vision, depth perception, and ability to adjust focus.

Work Environment

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. While performing the duties of this job, the employee is occasionally exposed to outside weather conditions. The noise level in the work environment is usually quiet.
