OSI Systems is seeking an Executive Assistant to join our team. This individual will be responsible for providing primary administrative and organizational support to executive officers and the President and CEO of OSI Systems. Duties will include calendar management, document management, account tracking, travel planning, preparing documents for meetings, maintaining files and general office support. This individual will require excellent organizational skills, meticulous attention to detail, and strong written and verbal communication skills. They must have an in-depth knowledge of company operations, policies, and procedures. They will handle details of a highly confidential and critical nature. In addition, they will collect and prepare information for use in discussions/meetings of executive staff and outside individuals. They will prepare presentation materials for board of director meetings. They will also make high level contacts of a sensitive nature inside and outside the company. Additionally, this individual will work on problems of diverse scope where analysis of data requires evaluation of identifiable factors. The successful candidate will exercise judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions.


Responsibilities

  • Performs a variety of administrative tasks including scheduling, reporting, and tracking of various information and documentation.
  • Prepares and reviews correspondence, reports, and other documents, and maintains detailed and organized files.
  • Schedules appointments and coordinates arrangements for various meetings, conferences, and travel.
  • Prepares, reconciles, and tracks expense reports.
  • Manages agendas and hosts various department meetings, Company meetings and Company events.
  • Maintains and manages calendars, assists in arrangements for domestic and international travel.
  • Establishes and maintains highly confidential files and records.
  • Professionally and effectively manages communication and relationships with department staff, internal departments and key employees, and external entities and individuals.

  • Demonstrate behavior consistent with the company's Code of Ethics and Conduct.
  • It is the responsibility of every employee to report to their manager or a member of senior management any quality problems or defects in order for corrective action to be implemented and to avoid recurrence of the problem.
  • Duties may be modified or assigned at any time to meet the needs of the business.

Qualifications

  • High School Diploma or equivalent required; Bachelor's degree in Business Administration or similar field desired.
  • 5+ year's related experience supporting Executives and Presidents required.
  • Demonstrated ability to work independently and work with confidential matters needed.
  • Highly Proficient computer skills using Microsoft Office Suite of applications including Word, Excel, and PowerPoint.
  • Must have excellent verbal and written communication skills.
  • Must have the ability to multi-task and prioritize in a fast-paced environment.
  • Highly organized and detail oriented.
  • Ability to work independently as well as in a team environment.
