Essential Job Functions:

Answers all incoming phone calls and routes them to the appropriate person.

Screens all Southern Maryland visitors/vendors per DCS guidelines and notifies the appropriate person to escort guests inside the facility.

Provides general support for the office, including but not limited to maintaining a record of visitors, monitoring the use of corporate services-related supplies, and maintaining working relationships with vendors and property management team.

Opens and closes the front office and ensures lobby/reception area is always clean and tidy.

Manage conference room schedule, emailing the office conference room schedule daily, managing and updating office lists, and performing notarial duties.

Responsible for restocking coffee and coffee supplies in all kitchen areas and informing Facilities team when supplies run low.

Maintains security by following procedures, monitoring the logbook, and issuing visitor badges.

Maintain the pre-approved vendor list for the office. Reach out to vendors when letters are due to expire.

Sort and distribute mail and manage FedEx/UPS deliveries. Assisting employees with outgoing mail/packages and labeling/adding stamps when needed.

Notify employees of packages and mail when needed. Create FedEx labels for employees using the FedEx account and request scheduled pickups when needed at the office.

Order more FedEx supplies (such as boxes, FedEx packs, envelopes, label slips, etc.) when running low.

Supports continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.

As time allows, provides administrative support for the Facilities Department, including but not limited to printing, organizing files, labeling, scheduling meetings, and other duties as assigned.

Familiarity with basic office procedures and equipment, including copiers, fax machines, printers, and postage machines.

Required Skills:

Due to the sensitivity of customer related requirements, U.S. Citizenship is required.

High School Diploma or GED plus 3 years of customer service experience is required.

Required to work in the office, 5-days a week, Monday through Friday.

Motivated, dependable and hardworking.

High level of PC proficiency working with MS Office products (Specifically: word, excel, PowerPoint), SharePoint, Deltek.

Must possess high interpersonal and communications skills and be willing to be a team player.

Must have strong problem-solving & prioritization skills.

Provide assistance in a courteous and professional manner.

Proven ability to multi-task and work well under pressure in a fast-paced environment, while maintaining accuracy.

High attention to detail and strong organizational skills.

Adhere to deadlines and follows directions.

Exceptional verbal and written communication skills required with the ability to successfully interact at all levels of the organization while functioning as a team player.

Proficient computer skills including the Microsoft Office Suite.
