Workday Implementation Project Manager

Job Summary

The Woods Hole Oceanographic Institution (WHOI) is currently seeking a skilled Workday Project Manager (WPM) with expertise in Workday Financials for a 3-year temporary, full-time opportunity. The position will play a crucial role on the project implementation team, overseeing all aspects of the project from inception to completion, including the post go-live critical care phase. This role will work closely with the Workday Finance Team Lead, implementation partner project manager, functional and technical leads, as well as other key project team members to manage overall project health - resources, scope, budget vs. actual costs, timeline and risks/issues. They will manage and monitor budget vs actual costs in association with the statement of work, and support project leadership to coordinate scheduling, create presentations & agendas, and facilitate various project governance meetings. They will partner with our implementation partner's project manager to ensure that the project is progressing forward and is meeting established milestones and assist in the management and escalation of overall project risks and issues that may be impacting progress.

Job Description

Essential Functions & Duties

  • Plan, coordinate and monitor overall project activities ensuring deliverables meet quality and performance objectives
  • Oversee and manage overall project performance, budget vs. actual cost, resources, scope, timelines and quality; identify potential risks and propose solutions
  • Partner with WHOI Finance Project Lead, Functional and Technical leads, and implementation partner PM to track and monitor project health, and escalate issues through established project governance
  • Provide oversight and support for all implementation project tracking tools such as project plan, RAID log, etc.
  • Assist with managing the vendor; ensuring implementation partner is delivering in accordance with statement of work, project plan, project charter and adhering to project schedule
  • Deliver status updates to Project Leadership in collaboration with Finance Project lead and Implementation partner's Project Manager
  • Facilitate & lead internal weekly Project Management meetings, sharing updates, identifying challenges, and delivering regular reports to stakeholders on project progress, risk and solutions
  • Create & deliver project level documentation and provide scheduling coordination (i.e. status meetings and reports, working sessions & agendas, presentations to support various project governance meetings), and manage overall project RAID logs, Project Plans, etc.
  • Maintain a high level of communication with internal and external teams, providing clear, tactful, and complete directives, realistic deliverable deadlines and prompt feedback
  • Responsible for daily project operations and project administration; including but not limited to coordinating WHOI resources, scheduling & meeting coordination, and facilitating the document approval processes.
  • Foster collaboration, create project structure, and build consensus and accountability to drive successful outcomes
  • Conduct project evaluations, document outcomes, capture lessons learned, and plan follow-up actions
  • Ensure adherence to project management best practices and standards

Required Experience & Education

  • Bachelor's degree in Finance, Economics, Business, Information Systems or a related/relevant field
  • Workday Project Management Certification
  • 5+ years' experience project managing Workday Financial implementations
  • Expertise in 2+ Workday Financial functional areas: procure to pay, record to report, contract to cash, financial planning, reporting & analysis, etc...
  • Workday consulting experience in either an internal/customer or external/partner role
  • Drive to deliver quality solutions, anticipate risks, and meet business objectives, delivering quality outcomes versus checking items off the project plan
  • Strong analytical, judgement, critical thinking, and problem-solving capabilities with the ability to lead projects through ambiguity to achieve clear, strategic outcomes
  • Strong interpersonal skills to understand the broad range of needs and support requirements for delivering exemplary customer service
  • Ability to communicate clearly, concisely, tactfully and effectively in both verbal and written formats to senior management, peers, team members and vendor partners
  • Ability to create and maintain positive, productive working relationships with people from different disciplines with varying degrees of technical experience, both internal and external (e.g. vendor partners)
  • Ability to operate independently, with excellent organization, time management and business development skills, to manage multiple tasks, with attention to detail and ability to achieve results
  • Advanced knowledge of Microsoft Office Suite, particularly PowerPoint
  • Experience with Jira, & Smartsheet

Preferred Experience & Education

  • Project Management Professional (PMP), CSM (Certified Scrum Master), or CBAP (Certified Business Analysis Professional) certification
  • Functional experience in Finance & Accounting with relevant business process analysis experience
  • Experience in a non-profit environment
