Position Description:
As an Administrative Associate in the Kern National Network you will perform high level clerical and administrative functions for national program office and support the work functions of the Kern National Network for Flourishing in Medicine National Director for Partnerships and Strategy, such as: drafting correspondence, scheduling appointments, organizing and maintaining electronic files, preparing materials and providing information to partners.
Primary Functions
- Create workflow charts, spreadsheets, databases, standard operating procedures, and templates.
- Create reports, presentations, minutes, letters, memos, and forms.
- Manage busy executive calendars, coordinate meetings with high-level partners, including Deans, Presidents/CEOs, Executive Directors, etc., and prepare pertinent agendas or materials.
- Provide resolution to inquiries and prioritize issues and routing inquiries as appropriate.
- Expertly coordinate travel and prepare and maintain trip kits for each trip requiring pre-trip coordination and post-trip follow up.
- Advise on the scheduling of meetings, events and travel in the wider context of the activities and events of the program office.
- Serve as key point of contact for a variety of audiences and independently compose e-mail and other correspondence.
- Conduct research, compile data, and prepare presentations and reports for leadership review.
- Coordinate and perform status reports, project reports, and other types of information regarding special projects.
- Support a variety of meeting functions - in person and virtual, including setting up zoom, reserving space, ordering food, etc..
- Support recruitment efforts for the program office and aspects of the onboarding experience.
- Monitor some department expenses and summarize financial information including travel expenditures, preparing expense reimbursements and purchase orders and check requests as needed.
- Support and potentially supervise junior administrative staff.
Knowledge - Skills - Abilities
Knowledge of computers, clerical procedures, customer service standards, collaboration, and information management. Organization, time management, interpersonal, communication, and problem solving skills.

Minimum Required Education: Associate's degree
Minimum Required Experience: 3 years
