About the Job

Position Summary:
This position will primarily be located in Heller Hall and is part of a west bank cluster that provides financial
services to the Global Programs and Strategy Alliance units. The employee is the primary preparer for
various financial documents and will need an understanding of our units' chart of accounts, along with
university policies/procedures. The position will also assist with our student finance processes, as well as
some payroll/HR functions as needed. This is a 100% appointment which requires at least 3 days per week
in the office.

Responsibilities:
Document Processing-50%
Review, code, enter, and monitor account transaction activities for the GPS Alliance
-Purchasing - UStores, Purchasing Cards
-Accounts Payables (non-study abroad) - including vendor maintenance
-Accounts Receivables - Foundation & Other
-Journal Entries - Internal sales, faculty/staff support, reconciliation adjustments
-Deposits
-Identify, review and resolve accounts transaction problems
-Oversee/manage electric file system for all documents per policy
-Assist developing adhoc financial/transaction reports as requested

Assist with Student Finance-30%
Sponsored/Exchange Students:
-Track student accounts
-Outreach to third-party billing to resolve issues
-Answer student questions about their bill
-Review financial guarantees/terms of appointments
-Backup Executive Accounts Specialist:
-Assist with study abroad billing
-Post scholarships, waivers, and emergency assistance to student accounts
Communication/Customer Service-10%
-Provide Chrome River training and support to staff as requested
-Onboard new staff about finance policy/procedures
-Communicate with non-finance staff regarding missing or incomplete documentation and explain the
University's policies and procedures to ensure compliance when processing these transactions
-Attend department staff meetings and provide informal in-person training as needed
-Monitor departmental email
-Manage mail/deposit runs between GPS units as needed

Payroll/Human Resource Unit Support -10%
-Work as a backup to the payroll specialist
-Provide back-up HR data entry for things like: job postings, appointment entry, additional payments,
background check requests, data clean-up projects, pay changes, and timesheet entry/review.
-Assist in submitting I-9s for new unit employees
-Assist in the reconciliation of payroll pre - and post-confirmation each pay period
-Assist in the organization of digital files

Qualifications

Essential Qualifications:
High school diploma/GED and two years general accounts transaction experience. Training/education may
be substituted for some of the years of experience.
Experience using Excel and Google Sheets
Demonstrated attention to detail
Demonstrated strong communication skills, both oral and written

Preferred Qualifications:
Ability to work independently
Demonstrated customer service skills
Experience using EFS and the U of MN Reporting Center
Experience or familiarity with international travel/study abroad
Experience working with sponsored projects

Pay and Benefits

Pay Range: $46,113.60 to $48,880 annually ($22.17- $23.50 an hour); depending on education/qualifications/experience

Time Appointment: 75%-100% Appointment
