Job Summary

The Business Systems Analyst at WHOI will play a pivotal role in implementing, enhancing, and optimizing the institution's business systems. Reporting directly to the Director of Business Systems, the ideal candidate will bring experience working with business systems, including Workday or similar platforms, preferably within the non-profit research/educational sector. This individual will collaborate with cross-functional teams to identify, implement, and maintain solutions that streamline and enhance processes across WHOI's technology ecosystem. Preferred qualifications include expertise in system enhancement and optimization, configuration and customization, implementation and project management, integration and data management, user support and training, system upgrades and maintenance, reporting and analytics, documentation and compliance, as well as cross-functional collaboration.

Job Description

Essential Functions

System Enhancement and Optimization:

Collaborate with department representatives as well as peers to evaluate enterprise systems across the institution, identify opportunities for improvement, and implement enhancements to optimize processes and increase efficiency in areas such as HCM, Payroll, Finance, and other business systems.

Configuration and Customization:

Configure and tailor business systems, including but not limited to HCM, Payroll, Finance, and other institutional systems, to meet WHOI's unique requirements while maintaining best practices and ensuring data integrity. Ensure robust testing processes are in place for configuration changes to validate system functionality, prevent disruptions, and maintain compliance with configuration change management standards.

Implementation and Project Management:

Contribute to the implementation of enterprise systems across various functional areas by gathering requirements, defining project scope, managing timelines, and collaborating with stakeholders to achieve successful deployments.

Integration and Data Management:

Design and implement integration solutions between enterprise systems and internal/external platforms, ensuring seamless and accurate data flow across WHOI's business systems. Experience with data integration, business intelligence (BI), and data warehousing (DW) is a strong plus.

User Support and Training:

Provide technical support to end-users, resolve system issues, and deliver training sessions to promote efficient and effective use of enterprise platforms across departments.

System Upgrades and Maintenance:

Collaborate with the IT team to manage system upgrades, patches, and ongoing maintenance tasks to ensure the technology environment remains secure, reliable, and up-to-date. Plan and execute regression testing for system updates to ensure existing functionality is not disrupted and newly implemented features perform as intended.

Reporting and Analytics:

Provide Advanced Reporting & Analytics Support, addressing complex reporting needs, including creating custom reports that require SQL, calculated fields, or composite reports beyond standard functionality.

Documentation and Compliance:

Create and update comprehensive documentation of system configurations, processes, and procedures, ensuring compliance with applicable standards and regulations.

Cross-Functional Collaboration:

Collaborate with HR, Finance, IT, and other institutional departments to understand business needs, gather requirements, and translate them into effective technology solutions.

Education & Experience

Bachelor's degree in Computer Science, Information Systems, Business Administration, or a related field.

At least 3 years of hands-on experience with enterprise resource planning (ERP) systems, including configuring and customizing HCM, Payroll, Finance, or other business-critical systems.

Experience within the non-profit research sector is preferred but not required, demonstrating an understanding of its unique challenges and requirements.

Proficiency in system and data integration, data management, business intelligence (BI), and data warehousing (DW) is a strong plus, with familiarity in tools like Adaptive Planning and SSRS being desirable.

Strong knowledge of software development lifecycles, specifically with configuration change control, is highly desirable, along with familiarity in using productivity tools such as Jira, Confluence, Smartsheets and/or Microsoft 365 to support these processes.

Excellent communication skills, with the ability to explain technical concepts effectively to non-technical stakeholders.

Demonstrated success in delivering enterprise system projects, system enhancements, and optimizations.

Ability to work collaboratively in a cross-functional team and adapt to evolving organizational needs.

Certifications in relevant platforms (e.g., Workday Pro, ERP certifications) are a plus.
