Hourly Pay Rate: $38.46 - $52.88

Position

The Executive Assistant is responsible for providing high-level administrative and executive support to senior-level staff. Participates as an adjunct executive team member, maintaining discretion and confidentiality.

The Executive Assistant will:

  • Event planning includes management o: venue selection, budget, attendee list (guests, speakers, and other participants), vendors, catering, contract negotiation, transportation, registration process, and content support
  • Maintains executive(s) schedules, including planning meetings, conferences, and events; acting as liaison for the executive team
  • Prepares written communication, documents, and presentations using various methods and platforms, including Microsoft Office Suite
  • Facilitate travel, domestic and international; create itineraries and coordinate meetings for executive(s) during travel.
  • Maintains system for recording and submitting expenses on behalf of the executive(s)
  • Welcomes and directs visitors and clients on behalf of senior staff
  • Records and distributes minutes or other records and documents for meetings
  • Performs administrative tasks and special projects as assigned
  • Performs clerical functions, including maintaining supplies inventory and anticipating needs, placing orders and verifying receipt of supplies, running errands, and preparing conference rooms
  • Support marketing efforts by creating marketing materials, compiling data, managing social media accounts, coordinating events, and assisting with campaign execution, all while ensuring alignment with the company's company culture and marketing strategy

Required Qualifications

  • Excellent organizational skills and attention to detail
  • Exceptional verbal and written communication skills
  • Advanced interpersonal and customer service skills
  • Adaptable time management skills to (re)prioritize efficiently
  • Maintain an executive presence and ability to communicate and engage with all levels of personnel
  • Experience managing travel logistics and event planning
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems
  • Ability to have discretion and maintain confidentiality in carrying out responsibilities; take initiative in problem-solving; independently handle sensitive situations using tact and diplomacy
  • Capability to take initiative to ensure matters requiring attention are handled appropriately and work effectively in stressful situations, meeting expected deadlines

Preferred Qualifications:

Experience with networking in the aviation, UAM, and UAV markets, international travel, and industry-related trade shows.

Education:

A bachelor's degree in business administration or a related field is preferred.

Preferred Experience:

Minimum of three years of experience in an administrative role.

Executive Assistant experience with high-level leaders is preferred.

Computer Skills

Able to type a minimum of 50 WPM.

Proficient with Microsoft Office Suite and the ability to learn new or updated software.

Ability to create original content used for documentation and advertisements.

Ability to use and operate standard office equipment.

Experience using Smartsheet.

Familiar with teleconferencing and videoconferencing services (Zoom, GoToMeeting, WebEx).

Pay

SEKISUI Aerospace is required by Washington law to include the salary range for this role when hiring a Washington resident. Pay ranges may be higher or lower for non-resident WA employees, based on the market data for their region, allowing us to pay employees competitively in different geographic markets.
