Clinic/Practice Assistant Senior (PSCIII)

This position reports to the Practice Manager of the MGH Chelsea Adolescent and Pediatric Clinic. The PSCIII/Referral Coordinator is responsible for managing internal and external Medical Referrals and a backup for Behavioral Health Referrals when needed. As part of that process, this person offers additional support for patients who require assistance navigating the healthcare system. The PSCIII/Referral Coordinator will also manage order-base scheduling for appointments within the practice. The position is part of a PSC team and will support other members of the PSC team and practice needs under the direction of the Practice Manager, PSC Team Leader and Administrative Coordinator, which may include cross coverage of the front desk, phones, and other practice operations. processing, reviewing, and closing the loop on all internal and external referrals in a timely fashion. Additionally, the Referral Coordinator is responsible for providing additional support for patients who require assistance navigating the Health Care system.

May Include duties and responsibilities of the PSC level II in addition to the below:

  • Manages outgoing referrals both within the MGH System and to outside organizations
  • Communicates with the offices/agencies to which patients are referred, establishing relationships with service providers
  • Tracks and appropriately documents information on referrals to ensure patient safety
  • Communicates with the care team regarding referrals-updates on appointments scheduled, unable to schedule, or no shows to appointments.
  • Coordination of nebulizers
  • Assist as back up for Behavioral Health and or Medical Referral when needed.
  • Builds and maintains ongoing working relationships with staff, clinical and physician members of the practice to facilitate positive staff morale and support provider productivity'
  • Manage assigned provider daily

Performs all the following key functions a PSC:

  • Checks in/checks out patients and performs all tasks associated with check-in/check-out workflows
  • Schedule appointments, calls to confirm appointments as necessary, makes appointments changes as necessary
  • Manages office Mail and Faces
  • Answers phones and clears voicemails on a timely basis.

Performs all other duties and/or projects assigned by the Practice Manager and/or Unit Chief

Education

High School Diploma required; bachelor's degree preferred

Experience

Prior experience in Health Care environment
office experience 3-5 years required

Knowledge, Skills and Abilities
- Strong technology and MS Office skills - Advanced Outlook, Word, Excel, PowerPoint Knowledge of office operations and standards and understanding of office procedures including filing, copying, scanning, printing and faxing.
- Ability to use phone system and manage more non-routine phone calls and solve routine issues as appropriate.
- Communicating effectively in writing as appropriate for the needs of the audience and talking to others to convey information effectively.
- Managing one's own time and the time of others.
- Well organized and good time management skills to manage multiple tasks effectively, follow established protocols, and work within systems.

- Excellent customer service skills

- Strong interpersonal and organizational skills

- Ability to handle confidential information
