Description
The Project Coordinator Implementations is responsible for planning, executing, and evaluating projects generated from new strategic business as well as extensive system upgrades and enhancements for our existing client base. This includes evaluating the requirements and resource needs of each project team member, creating the associated project task list, and managing the projects according to the established list. PRINCIPAL RESPONSIBILITIES AND DUTIES:
- Develops and provides clients with end user profile questionnaires to aid in the understanding of the client's business as it relates to the payment and reporting of invoices, as well as to provide the design information necessary to commence end user profile development.
- Coordinates and conducts meetings with new clients and/or managed service providers to address the end user profile; generates additional questions based on information received, if necessary, and develops implementation timelines.
- Creates and executes project task lists and revises as appropriate to meet changing needs and requirements from project initiation to closure related to new business and system upgrades and enhancements for existing clients.
- Coordinates and conducts internal review meetings of end user profiles or project task lists with management representatives from client relations, client programming, IT, data control (inbound and outbound), and data entry; updates documentation accordingly based on meeting feedback.
- Establishes pricing review meetings with manager to determine if solutions documented within end user profile coincide with pricing previously documented to clients in proposals.
- Presents completed end user profile/project plan to clients and/or managed service provider and addresses any questions.
- Conducts project review implementation meetings to monitor status of all implementations and addresses questions from the business unit/team and clients.
- Conducts sessions internally to develop solutions that meet the needs and requirements presented by client.
- Coordinates initial implementation efforts at Cass by distributing approved specifications to all necessary operational management staff.
- Identifies and manages project dependencies and critical path, tracks project milestone and deliverables, develops and delivers implementation progress reports.
- Prepares reporting metrics providing management with updates on project status.
- Evaluates and performs system table or validation file updates as needed for the execution of system logic.
- Works with assigned client relations account representatives in transitioning implementation efforts to these individuals.
- Performs other duties as needed or assigned.
SKILLS AND ABILITIES REQUIRED:
- Proven ability to communicate effectively, both written and verbally, with senior executives of customers and prospects, as well as internal staff and management.
- Demonstrated ability to research, analyze, and document a customers' business as it relates to the services offered by Cass, or requested of Cass.
- A strong understanding of data processing application systems design and the ability to document same within end user profile.
- Strong familiarity with project management software such as Microsoft Project.
- Technically competent with various software programs such as Microsoft Office suite.
- Experience working both independently and in a team-oriented, collaborative environment is essential.
- Can conform to shifting priorities, demands and timelines through analytical and problem-solving capabilities.
- Ability to elicit cooperation from a wide variety of sources, including upper management and other departments specifically, when services required by Cass are not within our current level of operational expertise.
- Ability to bring project to successful completion using a diplomatic skill set.
- Relational database experience with Microsoft SQL Server preferred but not required.
- Ability to effectively prioritize and execute tasks in a high-pressure environment is crucial.
- Ability to travel up to 10%.
MINIMUM LEVEL OF PREPARATION AND TRAINING NORMALLY REQUIRED:
- A bachelor's degree in computer science or business administration with an emphasis in management information systems or related field or equivalent work experience.
- A solid understanding of the operational aspects involved with supporting the services offered to customers normally gained by 1-2 years of Cass customer contact and associated operational experience or in an industry with comparable characteristics as Cass, preferred.
- Prior direct work experience in a project coordination capacity.
