THE POSITION

We are seeking a highly skilled and dynamic Director of Proposal Management to lead our RFP (Request for Proposal) team. The Director of Proposal Management will manage and oversee all activities related to the preparation, development, and submission of RFPs, RFI/RFQs, and proposals from prospective and current customers.

This role will ensure that all proposals are tailored to customer needs, well-written, meet the highest quality standards, and align with the company's brand and business goals. The ideal candidate will have strong leadership experience, a deep understanding of the RFP process, the ability to collaborate with cross-functional teams and subject matter experts (SME), and the ability to establish and optimize processes and tools that enhance the team's efficiency and effectiveness in delivering compelling, accurate and timely proposals.

This is a hardworking, fast-paced role where big picture ideas are as important as getting the smallest details right.

RESPONSIBILITIES



  • Leadership & Team Management:
  • Support the Business Development and Account Management teams by developing comprehensive, high-quality RFP, RFI/RFQ responses/proposals.
  • Lead, manage, and mentor the RFP team, ensuring high levels of motivation, engagement, and performance.
  • Manage team workload and prioritize RFPs/proposals to ensure timely and accurate responses.
  • RFP Response Management:
  • Oversee the entire RFP process, from receipt of the RFP to submission, ensuring all client requirements are addressed and deadlines are met.
  • Collaborate with internal stakeholders, including sales, account management, engineering, product, legal, marketing, and finance teams, to gather necessary information for proposal creation.
  • Review and approve final proposals, ensuring clarity, consistency, accuracy, and alignment with company capabilities and the RFP/RFI/proposal requirements.
  • Ensure all RFP responses are tailored to client needs, emphasize the company's strengths and value proposition, and that they are well-written, error-free and convey the Boingo brand voice.
  • Process & Tools Optimization:
  • Establish and Refine Processes: Assess current processes. As needed, develop, implement, and continuously improve standardized processes for RFP and proposal preparation to maximize team productivity, consistency, and quality across all submissions.
  • Assess Streamline Workflows: Create clear workflows and timelines for each stage of the RFP process, ensuring alignment between teams and minimizing delays. Identify bottlenecks and implement solutions to keep processes efficient and on track.
  • Integrate Automation and Technology Solutions: Lead the continued implementation of tools and technologies to automate repetitive tasks and improve proposal quality, speed, and collaboration.
  • Template & Content Management: Evaluate and refine the established repository of reusable proposal content and templates that ensure consistency, accuracy, writing quality, and reduce the time spent on each RFP. Oversee the management and regular updating of these resources.
  • Collaboration Tools: Ensure the team is equipped with and adequately trained on collaboration tools that improve communication and streamline document sharing across internal stakeholders (e.g., Salesforce, Sharepoint, Microsoft Teams, etc.).
  • Collaboration & Communication:
  • Serve as the primary point of contact for all RFP-related matters within the company.
  • Foster cross-departmental collaboration to gather inputs from sales, account management, product, marketing, engineering and financial teams, ensuring the accuracy and feasibility of proposals.
  • Act as a liaison between the RFP team and senior management to provide updates on proposal status and strategy.
  • Reporting & Analytics:
  • Track and report on key performance metrics related to RFP success rates, response times, and team performance.
  • Conduct post-submission reviews to gather feedback and identify areas for process improvement.
  • Analyze past proposal responses to identify trends, challenges, and opportunities for process optimization.

  • You know how to lead and motivate your team, plus you have an outstanding ability to service internal clients anticipating and supporting their needs.
  • You have outstanding communication and interpersonal skills, with the ability to build strong relationships with both internal and external stakeholders.
  • You've got solid business acumen and problem-solving chops. In addition, you have awesome project management skills, with the ability to create and execute a plan while managing multiple projects simultaneously.
  • You are enthusiastic about new technologies, industries and business models, and always curious about learning more.
  • You have a bachelor's degree, preferably in Marketing or Business. An MBA is a plus.
