The American Association for the Advancement of Science (AAAS) is seeking a Project Associate to support our Inclusive STEMM Ecosystems for Equity & Diversity (ISEED) Department. This role offers the opportunity to be at the forefront of broadening participation in STEMM, working alongside a team committed to removing barriers and creating pathways for diverse talent in science and technology.

What You'll Do

Administrative Responsibilities





    • Scheduling, contact management, action item tracking, meeting planning, and other administrative tasks.
    • Support agenda development and track actions from project team meetings, Advisory Council meetings, events, etc.
    • Respond to program inquiries and forward messages as appropriate.




Project Coordination and Contributions





    • Support project management logistics, e.g. coordinate an annual project calendar, tracking team assignments, and ensuring that activities and deliverables are completed in a timely manner.
    • Support budget tracking; contract, invoice, and travel reimbursement process.
    • Contribute to discussions of goals, objectives, and strategies.




Stakeholder Coordination and Communication





    • Track and coordinate various project stakeholders including reviewers, annotators, and applicants.
    • Facilitate making connections and assignments for stakeholder groups
    • Support coordination and scheduling of stakeholder related activities.
    • Support facilitation of online discussions.
    • Draft correspondence and agendas with internal and external stakeholders.
    • In coordination with project director, disseminate and track usage data of newsletters, social media accounts, and blog series.




In-Person & Virtual Event Design & Logistics





    • Support for conferences, workshops and meetings, including registration sites, promotional materials, travel awards, on-site meeting logistics, meeting materials, and respond to attendee questions.
    • Support with meeting abstract and workshop proposal submissions and travel award application submissions and processing.




Minimum Requirements



  • Bachelor's degree within a STEMM or STEMM Education related field preferred or three years of professional experience in a related field.
  • Strong organizational and project management skills with keen attention to detail.
  • Excellent written and verbal communication abilities.
  • Experience with social media management, content creation, and data tracking.
  • Proficiency in Microsoft Office and familiarity with website support tools.
  • A passion for advancing diversity, equity, and inclusion in STEMM fields.

The anticipated initial rate of compensation for this position is $60,000 -$65,000 per year. AAAS currently provides the following benefits for this position: paid vacation leave, paid sick leave, paid holidays, health insurance, flexible spending account, dental insurance, life insurance, vision insurance, retirement benefits, short- and long-term disability, each subject to the terms of the applicable program. Additional benefits may apply.

Any actual offer of employment, reflecting the total compensation package and benefits, will be made in the sole discretion of AAAS and will be based on a variety of factors, including years of experience, depth of experience, and other relevant factors. AAAS reserves the right to amend or modify its employment benefits and compensation structure at any time.
