Job Scope

The Accounts Payable Specialist II is responsible for managing end-to-end accounts payable processes, ensuring compliance with company policies, internal controls, and regulatory requirements. This role involves processing invoices, reconciling statements, managing vendor relationships, and supporting month-end close activities. The ideal candidate has strong attention to detail, the ability to work cross-functionally, and a proactive approach to problem-solving in a fast-paced environment.

Key Duties and Responsibilities



  • Invoice Processing & Payments

    • Accurately process and review invoices for appropriate documentation and approval.
    • Ensure timely and accurate payment of vendor invoices in accordance with company policies.
    • Resolve discrepancies related to invoices, purchase orders, and payments.
    • Process employee expense reports in compliance with company policies and tax regulations.


  • Vendor Management & Reconciliations

    • Maintain positive relationships with vendors, ensuring timely responses to inquiries.
    • Reconcile vendor statements and resolve outstanding balances or discrepancies.
    • Manage vendor setup, payment terms, and compliance with regulatory requirements.


  • Financial Reporting & Month-End Close Support

    • Assist with month-end accruals and reporting, ensuring proper cut-off of expenses.
    • Support general ledger reconciliations related to accounts payable.
    • Collaborate with cross-functional teams, including Procurement and Finance, to improve processes.


  • Process Improvement & Compliance

    • Identify opportunities for process efficiencies and automation within the AP function.
    • Ensure compliance with internal controls, SOX requirements, and company policies.
    • Participate in audits and provide supporting documentation as needed.




Education, Experience, and Qualifications:



  • Education & Experience

    • Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred.
    • Minimum 3+ years of experience in Accounts Payable or related finance roles, preferably in the medical device, biotechnology, or pharmaceutical industry.


  • Technical & Functional Skills

    • Strong understanding of accounts payable processes, general ledger accounting, and accruals.
    • Experience with ERP systems (SAP, Oracle, or Workday preferred).
    • Proficiency in Microsoft Excel (pivot tables, VLOOKUP, and data analysis).
    • Familiarity with SOX controls, GAAP, and tax compliance related to AP transactions.


  • Soft Skills & Competencies

    • Strong analytical and problem-solving skills with attention to detail.
    • Ability to prioritize and manage multiple tasks in a fast-paced environment.
    • Excellent communication and interpersonal skills to work effectively across teams.
