Accessible Teaching, Learning, and Assessment Systems (ATLAS), a research center at the University of Kansas (KU), is seeking an Events Specialist to support events sponsored by ATLAS teams and projects. This position will have responsibility in the Business Operations resource area to partner with cross-functional teams to gather and manage events requirements, develop event plans, and implement all parts of event plans (e.g., recruitment, communication, catering, vendor relations, multimedia requirements) under the supervision of an Events Coordinator. The Events Specialist will be responsible for supporting on-site and virtual events of various sizes.

Job Description
95% --Execute Event Plans: Execute the approved Event Plan of event workflows and deliverables to support center and program work. Examples of work performed may include:
  • Schedule calls and meetings, ranging from virtual, small group panels to in-person 3-day, 70+-participant training events
  • Use established cross-team communication to ensure successful execution of event project plans. Work with Lead Events Coordinator and other staff to adapt project plans as needed. Identify barriers and roadblocks to event plans and collaborate with team members and stakeholders to resolve. Actively participate in meetings and proactively seek feedback to anticipate needs and mitigate risks.
  • Implement all aspects of event plans, including scheduling, communication, recruiting, space allocation, catering, technical requirements, multi-media requirements, accessibility needs, and vendor coordination.
  • Support recruitment processes, including communication with potential and registered participants and application of screening criteria.
  • Coordinate within ATLAS Business Operations for details related to implementing venue contracting, travel logistics, participant payments, and overall event budget.
  • Collaborate with vendors, including caterers, rentals, and audio-visual team to ensure smooth event operations and compliance with regulations.
  • Support hosting for in-person and virtual events.
5% - Other duties as assigned.

Position Requirements
  • This is a full-time (40 hours/week), unclassified position.
  • Depending on the center's and team's needs, well qualified candidates may be allowed a work location that is hybrid or remote.
  • This position will be required to travel to Lawrence and/or other locations occasionally.
  • This position will require attendance at regularly scheduled meetings, onsite or through telecommunication platforms.

Required Qualifications
  1. Bachelor's degree in communications, public relations, education or relevant field, plus minimum of 1 years of related experience.
  2. Six months of prior experience with one of the primary responsibilities noted above, as evidenced in application materials.
  3. One year of experience with Microsoft Office applications: Word and Excel, demonstrated in work experience.
  4. Effective communication skills as evidenced by application materials and interview.

Preferred Qualifications
  1. One year of previous experience with more than one of the primary responsibilities: organizing events/scheduling, entering and managing data, preparing written communication materials, project coordination, or coordinating travel and reimbursements, as evidenced in application materials.
  2. Demonstrated record of excellent customer service to clients in previous work environments, as evidenced in application materials.
  3. One year experience prioritizing multiple projects to meet deadlines.
  4. Previous experience adapting and responding to changes in work priorities and processes as evidenced in prior work experience.
  5. Previous experience working independently and as part of a team, as evidenced in prior work experience.
  6. Excellent attention to detail in written work as evidenced by application materials.
