Summary

The Legal Administrative Assistant (LAA) Supervisor provides hands-on leadership and management of our LSS Teams, ensuring effective workload distribution, assignment management, and employee performance. The role is responsible for fostering a high-performance, collaborative work environment by building strong relationships with attorneys, paralegals, administrators, HR, receptionist and other support staff. Key responsibilities include addressing employee relations matters, supporting career development, mentoring, and promoting employee well-being. The LAA supervisor plays a crucial role in maintaining service excellence by optimizing team workflows, driving professional growth, and ensuring responsive and efficient support for clients and legal teams. Effective communication, organizational leadership, and a commitment to continuous improvement are essential to the success of this role.

Required Education & Experience



  • Four-year college degree or post high school training in the legal industry (Legal Secretary or Paralegal Certificate) preferred.
  • At least 2-4 years of prior management or supervisory experience in a professional services environment, with a focus on employee relations, development, and team dynamics.


Preferred Education & Experience



  • Law Firm experience preferred.

  • Employee Relations & Team Support (50%)

    • Supervise and support the LAA staff and teams to ensure efficient timekeeper support, fostering an open and collaborative environment.
    • Partner with HR to address employee relations matters in a proactive, timely manner, ensuring issues are documented and resolved with clear follow-up.
    • Develop and maintain strong relationships with timekeepers, serving as a key point of contact between the LSS Team and the timekeepers.
    • Act as the liaison between the LSS Team and timekeepers to ensure clear communication, effective workflow management, and resolution of any issues or concerns that may arise.
    • Collaborating with timekeepers to ensure that the LSS team is providing necessary support, anticipating needs, and aligning resources to meet client and firm business needs.
    • Partner, support, and lead Team Leads to promote teamwork, transparency, and engagement among LSS teams.
    • Facilitate open dialogue between timekeepers, Team Leads, and LAAs to ensure mutual understanding, effective delegation of tasks, and fostering a collaborative work environment.
    • Actively foster positive relationships with team members, offering support, guidance, and regular feedback to enhance employee satisfaction and performance.
    • Promote positive team dynamics by actively engaging in team meetings, encouraging open communication, and addressing concerns with a solution-focused approach.
    • Supervise Receptionist staff, ensuring adequate coverage for the Firm's phone system, meeting room scheduling, and ensure team members are well-supported.
    • Support employee well-being by partnering with HR to create a work environment where employees feel valued and heard.


  • Performance Management, Development, & Compensation (30%)

    • Conduct regular check-in meetings with Team Leads, LAAs, and Receptionists to provide feedback, support, and discuss ongoing development.
    • Manage the annual performance evaluation process for Team Leads, LAAs, and Receptionists, collaborating with the Director of Legal Support Services and HR to ensure fairness and consistency
    • Communicate compensation updates, including salary increases, bonuses, and benefits changes.
    • Develop and implement training and development plans when necessary, providing resources and ongoing support to help employees succeed.
    • Encourage continuous learning by collaborating with the Director of Legal Support Services to identify training needs, promote professional development opportunities, and support employee and team growth natives
    • Recognize and celebrate achievements, fostering a culture of recognition and motivation.


  • Recruitment & Onboarding/Offboarding (15%)

    • Collaborate with HR to oversee the recruitment process for LAA and Receptionist positions, ensuring a seamless and inclusive hiring process.
    • Develop a pipeline for LAA roles, proactively identifying and engaging potential candidates to ensure a strong talent pool for current and future openings.
    • Ensure cultural and operational fit in new hires by participating in interviews and supporting the selection process.
    • Facilitate onboarding for new team members, ensuring they are well-integrated into the team and receive appropriate support and training.
    • Facilitate offboarding processes for departing employees, ensuring smooth transitions and acting on any exit interview feedback to improve team dynamics and retention efforts.


  • General and Administrative (5%)

    • Provide leadership and direction to the Team Leads, LAAs and Receptionists, ensuring they are equipped to perform at their best.
    • Collaborate with other departments to ensure the LAA function is aligned with broader goals.
    • Perform other duties as assigned.

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. While performing the responsibilities of the position, these work environment characteristics are representative of the environment the person in this position will encounter. While performing the duties of this job, the employee will work in a professional, fast paced office environment that may require additional hours to complete work.

    The salary range for this role is $80,000 - $90,000. The salary range for this position is based on a variety of factors, including experience, skills, qualifications, and location. The range is provided as an initial approximation at the time of posting and may vary based on the individual's unique qualifications and experience.
