EXECUTIVE SERVICE

(This position serves at the pleasure of the Appointing Authority.)

The Maryland Transportation Authority (MDTA) owns, operates, and maintains eight major toll facilities comprised of four bridges, two tunnels, and two turnpikes, across the State of Maryland. Nature of Work: The Executive Assistant will serve as primary support personnel for the Executive Director and Executive Office of the MDTA. This position will perform duties in support of multiple high-level projects and assignments involving MDTA, the Maryland Department of Transportation (MDOT), other State agencies, local governments, business entities, and the public. This role also provides professional support to the members of the MDTA Board. Duties of this position include, but are not limited to, the following:

  • Assist with the development of project deadlines, milestones, and other project associated work products;
  • Maintains the Executive Director's schedule and serves as the primary backup to the Executive Officer assuming all duties in their absence;
  • Plans, organizes, coordinates, and manages administrative needs such as preparing correspondence, answering/screening telephone calls, scheduling meetings, receiving and directing visitors, and maintaining routine records and files;
  • Orders supplies, processes vehicle mileage logs, handles meeting arrangements, and prepares meeting materials;
  • Assists in the preparation of reports, presentations, and assembly of information into prescribed formats and constructs meeting minutes;
  • Reconciles State procurement card purchases and enters all necessary information into the purchasing card system for processing; and
  • Coordinates travel for the Executive, Audit, Communications, and Legal Offices.

This position will report directly to the Executive Officer and the Executive Director. The current vacancy is located in Baltimore, MD. Hybrid telework schedules may be available for this position.

Qualifications

PREFERRED QUALIFICATIONS:

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.
Experience: Six years of experience in administrative staff or professional work.

The ideal candidate may possess the following:

  • Experience with the Open Meetings Act
  • Experience reconciling corporate purchasing cards
  • Experience handling and protecting confidential information and material
  • Advanced experience with MS Office 365 (Word, Excel, PowerPoint, Outlook, Teams)

1. Candidates may substitute 30 credit hours from an accredited college or university for each year up to four years of the required experience.
2. Candidates may substitute the possession of a Bachelor's degree from an accredited college or university and two years of experience in administrative staff or professional work for the required experience.
3. Candidates may substitute the possession of a Master's degree from an accredited college or university and one year of experience in administrative staff or professional work for the required experience.
4. Candidates may substitute U.S. Armed Forces military service experience involving staff work related to the administration of rules, regulations, policies, procedures and processes, or overseeing or coordinating unit operations or functioning as a staff assistant to a higher ranking commissioned officer on a year-for-year basis for the required experience.
