Position Highlights The Aquatics Coordinator is a full-time position (12 months) that assists with the development and administration of a comprehensive aquatic unit, providing effective day-to-day supervision and management of aquatic facilities, programming, and student personnel. Aquatics includes lifeguard operations, risk management, swimming lessons, certification courses, leisure programming, special events and water chemistry. Coordinators are responsible for hands-on operations including aquatic facility operations, personnel supervision, pool maintenance, guest service, facility and equipment operations and maintenance, delivery of programs and services, program design and curriculum, and safety and risk management. Coordinates hiring, training, and supervising staff who oversee facilities and deliver programs. The position requires representation of the Department of Campus Recreation in a fair, consistent, cooperative and positive manner in accordance with Department and University policy. The position reports to the Assistant Director of Aquatic Operations.

Duties & Responsibilities

Facility Management:

  • Manage the day-to-day usage and integrity of the Student Recreation Center Aquatic Facility (50-meter x 25-yard swimming pool; shallow lane; office space; deck space; outdoor conference room; aquatic rollup; pump room; and recreational equipment.)
  • Design and maintain cleaning and maintenance schedules for the pool and associated support spaces. Ensure facility maintenance issues are addressed in a timely and proper fashion.
  • Manage and overseeing pump room, aquatics center routine and preventative maintenance plans, inspection and upkeep of outdoor pool to include both automated and manual chemical dispensing, balancing and testing, and scheduling maintenance and operation of the pump/valve system including regular filter cleaning/replacing. Address and treat all water chemistry or mechanical issues immediately with guidance of the Assistant Director.
  • Serve as the Certified Pool Operator for the aquatics center and develop and ensure quality standards are met for the aquatics center with a focus on water chemistry. Responsible for the chemical balance, cleanliness, servicing and troubleshooting pool operations
  • Oversee testing and documentation of water tests and the operation of the filtration and chlorination system.
  • Along with the Assistant Director of Aquatic Operations, develop maintaining and evaluating standard operating procedures for general and preventative maintenance.
  • Coordinate, inventory, maintain and track usage of all aquatic equipment, chemical purchases, and deliveries to ensure quality, safety and security.

Staff Management:

  • Recruit, hire, train, schedule, supervise, develop, and evaluate staff members for all hours of operations and programming including, but not limited to: Lifeguards, Aquatic Supervisors, Pool Maintenance, Swim Instructors, Certification Instructors, and Student Coordinators. Emphasis on developing and creating leadership training and student development learning outcomes for all positions. The number of student staff varies with programming and facility needs.
  • Maintain appropriate records to ensure all aquatic staff are trained, qualified, and certified in their respective areas including regular in-services, professional development training, and audits.
  • Administer formal staff performance assessments each semester for all positions and personnel.
  • Conduct regular meetings and engagement opportunities with student coordinators and leadership staff to monitor progress and assign responsibilities.
  • Develop, track, and oversee daily, monthly, semester, and annual maintenance tasks for staff to complete while on shift.

Program Management:

  • Provide leadership, supervision, assessment, evaluation, and direction for the Aquatics programming designed to achieve the Campus Recreation vision and area goals. Programs include, but are not limited to, first aid and CPR classes (American Red Cross), lifeguard training, swim lessons, swim clinics, water safety and competency training, pool rentals, instructor certifications, leisure programming, youth program development, and special events.
  • Collaborate with student organizations and campus partners to host special events throughout the academic calendar to help generate revenue for the program and/or increase participation and engagement.
  • Develop and coordinate all components of participant focused incentive programs.
  • Develop participant focused non-instructional aquatic programs focused on attracting new users, enhancing the aquatic users' experience, and income generation.
  • Propose, develop and implement new programs and activities based on the needs of the users to increase participation and income.
  • Propose programming and corresponding procedural changes based on current research concerning participation, interest, trends, fiscal analysis, and resource availability.
  • Coordinate and directly lead certification courses to the department and public per program slate to meet program and financial goals. Instruct internal staff certification courses to maintain staff certifications.
  • Streamline program registration, enrollment, and payment via online, phone, and in-person following university and department guidelines.
  • In conjunction with administration and the department risk management committee, develop or update necessary emergency procedures, safety practices and risk management processes.
  • Implement program assessment tools to assess market needs and interests, participant satisfaction and overall program feedback. Report on results, including strategies for process improvement.
  • Oversee aquatics usage of program entry, transfers, cost recovery, assessment, and data collection via RecTrac.

Risk Management:

  • Annual evaluation and update of the Division's aquatics emergency action plan with student staff.
  • Perform regular assessments/safety inspections of facilities and equipment to identify potential risks associated with recreational participation at the SRC and ensure proper documentation of inspections; maintain standards to ensure a safe environment and make recommendations to leadership for improvements.
  • Ensure the safety of all aquatic equipment and aquatic facilities.
  • Respond to all participant and staff disciplinary incidents concerning Recreational Sports aquatic policies and University policies.

Administration:

  • Assure high quality relational service by maintaining relational contact with participants, responding to their comments and suggestions.
  • Monitor the Campus Recreational Sports Aquatics web page and keep program information accurate.
  • Assist with the annual budget submission. Provide financial supervision necessary to achieve budget targets, carrying out best practices in financial stewardship.
  • Execute equipment and supply purchasing within budgetary parameters according to UA policies.
  • Provide ongoing, semester and annual updates on pertinent measures of success, including participation, assessment data, financial status and area happenings.
  • Participate in annual development of program and unit goals and objectives; assist with the preparation of semester and annual reports to document achievements, needs and recommendations that shape ongoing planning.
  • Solicit and evaluate input from participants and groups using all Recreational Sports aquatic programs and facilities. Collaborate with department staff to ensure facility spaces are maintained as needed to meet industry standards for programmatic use.
  • Under the guidance of the Assistant Director and department marketing staff, implement publicity strategies to maximize program participation. Conduct outreach efforts to increase awareness and visibility of the program.
  • Develop and maintain relationships and collaborate with Campus Recreation, the University of Arizona and Tucson community as necessary to achieve program success, collaborations and partnerships.
  • Ensure proficiency in Campus Recreation and University of Arizona policies, procedures and processes.
  • Participate in Campus Recreation, University of Arizona and pertinent industry training and development opportunities and industry professional development through presenting at workshops, research, writing articles and/or creative projects. Serve on Division, School, or University committees as assigned.
  • Assist with Campus Recreational Sports special events and provide night, weekend, and break coverage as part of professional staff rotation.
  • Additional duties as assigned.
Minimum Qualifications
  • Bachelor's degree in recreation, sports management, higher education, physical education, public health or related field or equivalent advanced learning attained through professional level experience.
  • 3 years of related work experience or equivalent combination of education and work experience required.
