About the Role:

We are looking for a HR Operations Specialist to join our growing Rewards team. This role will be based in our Parsippany, NJ office.

Main Responsibilities:

* Audit payroll changes to ensure accuracy and assist with balancing payroll accounts by resolving payroll discrepancies.

* Answers questions and address requests related to payroll information.

* Research and respond to unemployment claims if required by Equifax, dispute claims as necessary.

* Ensure compliance of Federal, State and local wage and hour laws for various states.

* Assist in processing the weekly, bi-weekly and monthly (future) payroll cycles for multiple locations under the FUSA, Fannie May & Puerto Rico business units.

* Administer and assist in the support of the Time & Attendance system, including data exports, updates, implementation, maintenance, and support.

* Processes bonuses, commissions and all supplemental income payments. Ensures proper calculation of payments in-line with supplemental federal and local taxation.

* Monitor the entry of personnel transactions affecting payroll such as transfers, salary increases, terminations and new hires. Request additional information and provide feedback to HRBP & HRIS teams as necessary.

* Reviews calculations for retroactivity and necessary activation or deactivation of employee records.

* Oversee the processing and distribution of manual and off-cycle checks.

* Assist with monthly, quarter and year-end payroll close including reporting.

* Support the processing of garnishments and child support orders on a timely basis.

* Communicate with various jurisdictions regarding remittance discrepancies.

* Support the Finance/Accounting department with reporting and reconciliation as needed.

* Support all relevant regulatory, vendor and internal audit requests including workers compensation, 401K and other requests as required.

* Create SOP's and set up guidelines for best practices for each area of responsibility.

* Provide training opportunities for HR generalists to ensure HR Operations receives correct and complete information for each HR action.

* Monitor, research, and respond to inquiries in the general HR Operations mailbox at least 3 times a week.

* Liaise with Leaves team on approved pay activities and enter as appropriate on time cards or exception files.

* Back up support to Payroll Manager in absence.

* Reporting

o Operate as Functional Subject Matter Expert (SME) and primary point of contact for UKG reporting, as well as reporting for any new or replacement payroll and T&A systems.

o Responsible for designing, developing, and implementing timely and accurate data/reports using UKG or other systems to support the business.

o Review, validate and submit improvement cases for existing reports in UKG's system (BI & UTA) or their replacement systems.

o Support internal/cross departmental Teams and vendors with creation, production, data analysis, and data validation of reports to the businesses. As needed, including but not limited to customized reports, standard reports, earnings and hours reports, 401K report, audit reports and ad hoc request.

o Generate and provide monthly reports for Nutella Cafe, Somerset Mechanics and EY and others as needed.

o Create and maintain ad-hoc reports pertaining to Payroll/HR/Benefits.

Skills:

* Payroll, Time & Attendance, Managing Processes, People Management, Data Entry Management, Reporting, Benefits Knowledge, Worker's Compensation, Employment Law, Developing Standards, Financial and Accounting skills

* Knowledge of MS Office, Word, Excel and Outlook; advanced Excel experience required.

Business Experience:

* 5 or more years of experience processing multi-state payroll.

* Experience with Union Payroll/Health and Welfare payments.

* General HR knowledge.

Competencies:

* Advanced skills of Microsoft office suite software.

* Detail oriented with consistent follow-through and strong analytical and problem-solving skills are necessary.

* Excellent organizational, interpersonal and communication skills (both verbal and written)

* High degree of discretion and confidentiality required.

* Ability to multi-task, manage several projects simultaneously, change priorities and work effectively in a fast-paced, deadline driven environment.

* Problem solving and decision-making skills and a flexible working style.

* Time and attendance and Reporting knowledge strongly preferred.

* Expertise in UKG BI basic reporting software and other replacement or ancillary systems desired.

* Knowledge in ADP and/or UKG strongly preferred.

Bachelor's Degree or Equivalent years of experience
