Position Highlights The Program Coordinator (Academic Administrative Professional II) will administratively manage the Graduate Interdisciplinary Program (GIDP) in Cancer Biology GIDP in collaboration with the Chair and executive committee. The duties are highly varied with the primary responsibility of the position being to ensure all program goals and objectives are accomplished. This includes, but is not limited to: administrative support to the Chairs and executive committees of the program and serving as the Graduate Coordinator for all graduate support functions including recruitment, admissions, financial assistance including budgeting and organizing student financial support, enrollment and degree completion, counseling current students on administrative matters, planning program events, course scheduling and working on program matters/events in collaboration with the GIDP Administration Office. Providing program- and student-related data to the Chairs, and drafting reports and providing requested data to GIDP Administration, the Graduate College, the Office of Assessment, and other supervisory bodies within the UA.

Duties & Responsibilities

Manage all fiscal matters including operations and recruitment budgets, travel, graduate student support, and purchasing under the direction of the Program Chair and the Graduate Interdisciplinary Programs Administration.
These duties include:

  • Coordinate all student financial support including the process of the graduate assistant and associate hiring, loading tuition and fellowship funding, and ensuring that students meet eligibility requirements.
  • Budget and plan program events.
  • Preparation of financial reports, as necessary
  • Support the activities of program committees including the executive committee, the progress committee, and special committees convened for a particular purpose such as the curriculum committee and the handbook committee.
  • Maintain the Cancer Biology GIDP web page.

Program and Administrative Advising of Students. These duties include:

  • Advise students on GIDP Program and Graduate College requirements, and assist in their course enrollment, as necessary.
  • Coordinate, track and monitor degree completion progress for each degree-seeking student, advise students on what requirements need to be completed.
  • Complete final check for requirements before graduation, submit all requisite documentation to the Graduate College in a timely manner.
  • Ensure graduate student compliance with Graduate College policies and procedures.
  • Work with advisors and Program Chairs to assist students.
  • Act as academic resource for Cancer Center faculty, staff and students.

Coordinate graduate recruitment through the Arizona Biological and Biomedical Sciences (ABBS) Program and admission to the CBIO GIDP.

Facilitate the Cancer Biology Seminar Series: maintain seminar schedule with the seminar coordinators, invite speakers, purchase airfare, reserve lodging, pay speaker fee and reimbursement for expenses. Provide schedule information for use in annual reports for Cancer Center Research Programs.

Coordinate on-campus events such as student meetings and program retreats.

Program assessment, record keeping and planning
These duties include:

  • Coordinate CBIO academic program review. Work with program chair to identify and solicit participation of internal and external reviewers, coordinate review committee meetings, assemble committee documents into final program review report, interact with GIDP admin office to schedule internal and external review meetings.
  • Maintain databases for current and former Cancer Biology GIDP graduate students and track professional progress of former students.

Course Scheduling

  • Assist faculty in the management of Cancer Biology courses; schedule course classrooms, assist new CBIO graduate students with enrolling in CBIO courses and monitor student enrollment, make copies of materials and distribute to students, ensure that grades are posted in a timely fashion and process online forms for curriculum and faculty teaching workload. Aid in the preparation of new courses and course modifications, as needed.

Other duties as assigned.

Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
  • Minimum of 3 years of relevant work experience is required.
Preferred Qualifications
  • Experience with applicable UAccess information processing systems will be considered a strength.
