M1 Support Services (M1) is seeking a knowledgeable and experienced Executive Assistant support our Fort Novosel Vice
President/General Manager. This role will focus on providing administrative and secretarial services. This position reports
to M1's Fort Novosel Vice President/General Manager.
Primary Responsibilities include but are not limited to the following:
* Coordinates and performs special administrative and secretarial services including management of numerous suspense
files, charting, and tracking of actions ties.
* Responsible for the preparation, filing, and accountability of sensitive and highly confidential correspondence and
documents.
* Provides extensive administrative support and detailed secretarial services to directors and managers as assigned.
* Interacts with Company, Corporate, Government, and client contacts to provide and exchange information, and to
explain company policies and procedures.
* Receives visitors and telephone calls, determines the nature of the contact, and decides whether the importance of
business, rank or position of the contact requires personal attention of the senior staff members or whether the visitor
should be referred to the appropriate department responsible for the matter. Provides information to callers upon
determination of their right to receive it.
* Provides administrative support; researches and prepares statistical data, correspondence and material for articles,
speeches, and briefing charts.
* Composes letters and memoranda from verbal instructions or from knowledge of company policies and procedures
* Makes travel arrangements as requested. Responsible for processing relocation of management members as required.
* Responsible for the completion of other tasks related to this position as assigned by cognizant management. As
applicable, enforce Company, Corporate, U.S. Government agency, and other rules, regulations, and procedures toward
attainment of overall goals and objectives.
* Must be able to confidentially handle employee-sensitive materials. Must be tactful, discrete and articulate.
* Able to obtain/maintain security clearance as required by PWS.
In addition, the candidate should possess the following requirements:
Education:
* Associate degree in administrative or business science and two years secretarial experience, or high school graduate
and five years secretarial experience, including two years at the executive level. Education may be substituted, in part,
for experience at the discretion of the General Manager.
Experience:
* Must be proficient in MS office.
* Must be able to speak, read, write, and understand English.
* Must be reliable, self-motivated, and able to deal with stressful situations and timelines while maintaining a professional
and non-confrontational attitude.
Physical demands and environmental conditions:
* Primarily an office environment but will include hangars and flight lines.
* Prolonged periods of sitting at a desk and working on a computer.
* Some physical activity including standing, bending, and walking.
* Could be exposed to loud and persistent noise when in the hangar environment.
* Will be required to utilize Personal Protective Equipment (PPE) such as safety toe footwear, safety glasses, etc.
