JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Penn State Office of Veterans Affairs and Services seeks a team-oriented Administrative Assistant with superb customer service skills and attention to detail to provide administrative support and coordination for the Senior Director of Veterans Affairs and Services and to manage day-to-day office operations in the Student Veteran Center.The candidate will serve as the first point of contact for the office answering telephones, greeting visitors, providing information, and coordinating with other university units, campuses, and external entities as appropriate. In addition, this position plans, manages, and executes a wide variety of events and complex special projects in support of the unit mission and activities.The Office of Veterans Affairs and Services is a small three-person unit and the person in this position will hold a great deal of responsibility to ensure the unit mission is accomplished.The person in this position is required to work with minimal supervision and must be able to take the initiative on projects and tasks.

The successful candidate will be responsible for the following:

  • Coordinate and arrange meetings
  • Plan, manage, coordinate, publicize, and execute special events, projects, conferences, and other functions
  • Monitor and maintain budgets, track expenditures, process budget revisions, and assist with budget preparation and projections as well as manage gift, scholarship, and Purchase Card accounts
  • Develop, design, and produce publications in accordance with established University policies/regulations and edit various reports, publications, speeches, and articles
  • Design and maintain web pages as well as manage office social media outlets (Facebook, X, Instagram etc.)
  • Coordinate office travel arrangements and prepare/submit travel reimbursements in ERS (Employee Reimbursement System)
  • Manage the university Military Honor Cord Program and Military Appreciation Events Subcommittee
  • Support military-connected students and veterans' community
  • Assist with other duties as assigned

Education and experience:

This position will be filled at the Senior Support level. Minimally requires an Associate's Degree plus four years of related experience, or an equivalent combination of education and experience. Strong attention to detail and communication skills are required as well as a working knowledge of University business systems, such as: SIMBA (System for Integrated Management, Budgeting, and Accounting), FIT (Financial Information Tool), ERS, LionPATH, and fleet transportation system, with proficiency in Word Press and MS Office including Word, Excel, Outlook, and PowerPoint.

The normal hours of operation for this position will be Monday through Friday, 8:00 a.m. - 5:00 p.m. with occasional evening or weekend hours to support special events or functions.Preference will be given to individuals that have experience working with or knowledge of military culture, military families, and/or military background.

Due to the financial and fiduciary responsibilities of this position, successful completion of a credit history check will be required in addition to standard background checks.

The salary range for this position, including all possible grades is:

$42,100.00 - $61,000.00
