About the Department of Science, Technology, Engineering, and Mathematics (STEM Education)
The Department of Science, Technology, Engineering, and Mathematics ( STEM Education) comprises over 24 full-time faculty members, 400 undergraduate students, and 150 graduate students. STEM Ed advances education through scholarship, leadership, and advocacy. Faculty in STEM Ed prepare professionals who have deep content knowledge, demonstrate a strong working knowledge of effective discipline-based pedagogies, and realize the potential of digital technologies to enhance learning. The department offers a Ph.D. in Learning and Teaching in STEM with concentrations in Mathematics and Statistics Education, Science Education, and Engineering and Technology Education. The department also offers an online Master of Education degree in STEM Education, with additional concentrations in Mathematics and Statistics Education, Science Education, and Engineering and Technology Education. In addition, STEM Ed offers undergraduate programs in Science Education, Mathematics Education, and Technology, Engineering and Design Education as well as an online Master of Arts in Teaching in all three content areas. Through the bachelor's, master's, and doctoral degrees, as well as two minors and a graduate certificate, the department exemplifies an innovative merging of teacher education and the learning sciences that results in new pathways for teaching, scholarship, leadership, and service.

Essential Job Duties
Acting as the central hub of the department, the Graduate Services Coordinator is the vital link connecting graduate students, faculty, and the Graduate School. This role drives the administrative heartbeat of the program, overseeing the full lifecycle of student records-from tracking initial applicants to maintaining secure, up-to-date files for enrolled students. Beyond managing course schedules and navigating complex admissions workflows, the Coordinator acts as a primary resource, ensuring deadlines are met and delivering top-tier support to administrators, faculty, and students alike.
Duties and Responsibilities:

  • Stakeholder Management: Serve as the principal administrative bridge between the Director of Graduate Programs, the Graduate School, and the student body.
  • Admissions Operations: Oversee the full processing of graduate applications, ensuring all materials are submitted accurately and applicants are kept informed of critical deadlines.
  • Student Progress Tracking: Guide students and faculty through complex administrative processes, including committee appointments, exam scheduling, grade changes, and transfer requests.
  • Compliance & Records: Maintain comprehensive and secure student records while verifying GSSP eligibility for all graduate assistantships.
  • Course Scheduling: Serve as the liaison to the University Scheduling Office, managing semester course builds, room allocations, and data updates.
  • Front-Line Support: Deliver exemplary customer service as the first point of contact, troubleshooting issues for faculty, staff, and students.
  • HR Liaison: Manage departmental hiring requests for graduate students, coordinating directly with College HR and Finance units to ensure smooth job actions.
  • Team Collaboration: Partner with departmental staff to support broader administrative goals and assist the Director with special projects as requested.


Note: This position requires an on campus presence to effectively perform the essential duties of the position. As such, employees must reside within a commutable distance and must report to campus to perform certain work-related tasks as a condition of employment.

Qualifications




Minimum Experience/Education
Bachelor's degree; or an equivalent combination of training and experience.

All degrees must be received from appropriately accredited institutions.
Preferred Qualifications

  • Strong organizational skills as well as excellent verbal and writing skills,
  • Proficient in technology skills including Google applications and Microsoft Office applications.
  • Progressively responsible administrative/office management experience.
  • Previous administrative experience in higher education.
  • Previous experience in NC State specific systems of PeopleSoft, SIS, SLATE.
