Nemean Solutions, LLC is looking for an Administrative Assistant

This administrative position will provide administrative support and Command Pay and Personnel Administration (CPPA) services for approximately 550 Navy personnel; as well, this position will perform notary and mail services for the Marine Command Security Force Battalion (MCSFBN) administrative office for approximately 1,000 military personnel.

Key Responsibilities / Actions:

  1. Maintain a vast array of administrative forms, files, and instructions.
  2. Maintain military records in accordance with (IAW) DOD/DON Records Management policies.
  3. Update, verify, and maintain administrative reports and data.
  4. Forward official Naval message traffic dealing with incoming and outgoing orders for service members.
  5. Compile and report on various information.
  6. Draft appointment letters for review.
  7. Process and track command awards for Navy personnel through the IAPS.
  8. Conduct check-in activities for new MCSFBN personnel. This consists of checking-in all new Navy military personnel into the Command, adding members to MCSFBN roles and databases; creating member records; preparing and submitting Travel Claims to Transaction Support Center (TSC), Pensacola; and obtaining and maintaining member evacuation information.
  9. Support the transfer of MCSFBN Navy personnel with scheduling transfer date, completing mandatory overseas screenings, and Dependent Entry Approvals.
  10. Schedule appointments for passports and Visas for members and dependents.
  11. Complete special programs screenings.
  12. Prepare and process incoming/internal/outgoing transfers.
  13. Route transfer packages through MCSFBN leadership for approval.
  14. Submit all paperwork to TSC Pensacola transfer section via SALESFORCE.
  15. Prepare and process military separations.
  16. Process, track, and enter into Naval Standard Integrated Systems (NSIPS) all command Awards for Navy Personnel through Individual Awards Program System (IAPS), emailing to Strategic Systems Program for processing.
  17. Provide administrative support for personnel evaluations and fitness reports, including overseeing and maintaining the Command Evaluation program and records.
  18. Prepare and process Disciplinary Review Board documentation.
  19. Review and update Bureau of Naval Personnel (BUPERS) Online (BOL) overseas screenings.
  20. Process inbound/outbound service members (updating service member status in electronic databases, processing members through Transaction Service Center, Pensacola).
  21. Prepare and process verification and authorization letters for the accelerated advancement program.
  22. Review individual qualifications for Good Conduct Medals utilizing NSIPS program and prepare certificates.
  23. Coordinate and liaison with TSC and service members to correct personnel/pay issues utilizing SALESFORCE to transfer correspondence and process documents to TSC.
  24. Prepare requisitions for the administrative department.
  25. Receive and screen and route all general message traffic in regard to incoming and outgoing service members.
  26. Provide data entry/maintenance of service member records.
  27. Prepare various forms and forward to the requestor for review and action and draft official correspondence as requested.
  28. Maintain historical personnel files and utilize the NSIPS E-Leave program to process service member leave requests, input emergency leave requests, add and modify service member's reviewers and approvers.
  29. Assign and add divisional and department codes to Navy service members for accountability purposes; these duties include reviewing and recommending leave corrections as required, updating E-Leave as personnel transfers occur and verifying leave requests for completeness and accuracy.
  30. Perform notary support tasks including providing notary services to MCSFBN personnel as required and maintaining a notary stamp and logbook per State of Georgia notary regulations.
  31. Coordinate with TSC via SALESFORCE to process administrative separations, all pay-related material to include Housing Allowances, Meal Allowances, and regular base pay.
  32. Communicate with TSC via Salesforce to solve all personnel issues to include Gains and Transfers, ESO duties, member record updates, processing reenlistments and extensions, and verify members Record of Emergency Data/Dependency Application (RED/DA and Service Group Life Insurance (SGLI) is up to date and track yearly updates that are due.
  33. Assist in mail services support as needed, performing daily mail pick up/delivery to base post office and MCSFBN and Strategic Weapons Facility, Atlantic (SWFLANT) Facilities processing incoming/outgoing official mail. Support includes sorting/date stamping/addressing/packing, processing incoming service member mail and ensuring accountable mail is processed, logged, and stored.

Historically, the administrative support has performed the following daily actions:

  • Prepare and process outgoing transfers.
  • Prepare and process incoming transfers.
  • Prepare and process internal battalion transfers.
  • Prepare and process military separations.
  • Perform assistant mailroom custodial duties in the absence of the primary mailroom clerk.
  • Prepare and submit to the supervisor various correspondence.
  • Provide advice and consultation via email, phone and in person.
  • Assist in providing oversight and workload distribution for 5 functional areas.
  • Prepare, review and submit correspondence and award recommendations to the MCSFBN Adjutant.
  • Oversee and maintain the command evaluation program.
  • Prepare and process DRB documentation.
  • Provide customer service replies via email, phone and in person.
  • Oversee and maintain the Advancement Eligibility Program.
  • Oversee and maintain the command mailroom.
  • Oversee and maintain the command E-Leave Program.
  • Maintain copier lease program.
  • Provide notary services.
  • Provide advice and consultation via email, phone, and in person.

Support Hours: Applicant shall be available during core work hours 0900 to 1630 or as established by the RA. The facility is closed during local or national emergencies, administrative closings, or similar Government directed facility closings.

Place of Performance: The primary work location will be within Government facilities Naval Submarine Base in Kings Bay, Georgia.

Travel: The applicant may be required to travel to other locations within CONUS and OCONUS locations in support of this contract.
