Job Summary:
The Office of the Registrar supports the teaching and learning mission of the University of Wisconsin-Madison by providing essential curricular, enrollment, and student-record services to the campus community. We are currently seeking a Course Specialist to join our Degree Audit and Academic Programs team, a group of hard-working, detail-oriented, innovative and collaborative professionals. This position reports to the Assistant Registrar for Degree Audit and Academic Programs in the Academic Services area of the office.
The Course Specialist will serve as the primary expert and Office of the Registrar (RO) liaison in establishing and maintaining course information within the integrated student information system (SIS) course catalog. This position collaborates with academic planners, academic deans, curricular representatives and instructional staff in the maintenance of the SIS course catalog, currently containing nearly 9,000 courses across 188 subjects. The incumbent will work in concert with RO and school/college degree audit encoding staff, academic planners, academic department staff, school/college curriculum committees and operational data store consumers to ensure proper utilization of course information across multiple curricular platforms (e.g., the student information system, the degree audit, and Guide). This individual is also responsible for creation and enforcement of the governance-approved course requisites to ensure appropriate student preparation with course enrollment.
Additionally, the incumbent will have primary responsibility for specialized functions within the Office of the Registrar related to Academic Services, including maintenance of the SIS calendar and collaborative programs. Responsibilities will also include supporting, testing, documenting, and improving systems and business processes, particularly in relation to our curriculum management platforms.
Responsibilities:
Collaborates with and supports students, faculty, and staff in the development, implementation, and maintenance of student records, curricular, and degree requirement data and systems.
- 15% Serves as an expert in the creation and maintenance of student records and curricular and degree requirement data within the student information system
- 15% Implements, interprets, and enforces instructional, professional, and legal standards and regulations related to student, curricular, and academic records
- 15% Collaborates with academic deans, faculty, advisors, and staff to resolve curricular, student record, and credit evaluation problems. Audits and corrects data to ensure accuracy and completeness
- 15% Provides functional support and evaluation of the student information, curricular management, and credit evaluation systems to identify opportunities for business process improvements and makes recommendations to adapt processes and systems to achieve greater efficiency
- 15% Participates in systems testing and develops and maintains documentation on business processes
- 15% Applies knowledge of programs, procedures, and policies to provide expert guidance in student records, curricular management, and credit evaluation functions when complex cases have been escalated by campus stakeholders for resolution
- 5% Meet the documented Office of the Registrar standards including but not limited to: standards in customer service, participation, communications, professional development, and testing of processes/systems. Perform other duties as assigned.

Required Bachelor's Degree
Qualifications:
-Minimum 2 years of relevant professional experience in higher education required, preferably in a registrar, degree audit encoding, academic planning, or academic advising setting. -Strong attention to detail, accuracy and organization, and demonstrated analytical aptitude. -Demonstrated experience in cross-campus collaboration and engaging with academic planning and school/college partners on matters of curricular policy and process. -Effective problem-solving skills; ability to identify and resolve problems in a timely manner, gather and analyze information skillfully, and develop alternative solutions. -Experience interpreting policy, legislation, and/or complex rules and regulations. -Excellent organizational skills with demonstrated ability to meet deadlines in a fast-paced environment. -Strong written and oral communication skills. -Preferred: knowledge of PeopleSoft Campus Solutions 9.2 and CourseLeaf, Leepfrog's curricular management platform.
