About the Department
The Fitts Department of Industrial and Systems Engineering ( ISE) at NC State strives to improve society through research and education across a broad spectrum of methods and application areas. The ISE community includes more than 25 faculty, 10 core staff, 350 undergraduate students, and 250 graduate students with approximately 75 Ph.D. students. The ISE department leads three centers and multiple interdisciplinary graduate degrees, where faculty members work together in a collaborative and collegial environment (ranked highly by US News).
NC State is growing engineering (expected to be 40% over five years) in part to meet growing industry demand for graduates and the growing demand associated with Applied AI. The university is based in Raleigh, NC, which was recently named Best Places to Live by US News and World Report, with proximity to urban areas, beaches, mountains, great restaurants, cultural activities, and more.
In ISE, innovative research is conducted within and across areas, along with interdisciplinary collaborations across the university and beyond. In addition to degrees in ISE, the department leads a Master's in Engineering Management degree, collaborates on graduate degrees in Operations Research, and supports the Integrated Manufacturing Systems Engineering Master's degree. The department houses two funded centers that are public-private partnerships, including the Ergonomics Center of North Carolina, which is the only center of its kind at a U.S. public research institution, and the Center for Additive Manufacturing and Logistics, which is one of the most advanced manufacturing and 3D printing laboratories in the country. The newly established Bezos Center for Alternative Proteins is also led by an ISE faculty member.
The ISE department is supported by world-class laboratory facilities for computing, manufacturing, and human factors and ergonomics research, enhanced by the new Fitts-Woolard Hall, located on NC State's Centennial Campus near the award-winning Hunt Library and numerous industry and governmental facilities. Our faculty members are internationally renowned in their fields, and they have extensive collaborations with other departments, universities, medical schools, and other external partners.
Essential Job Duties
The Graduate Services Coordinator is responsible for maintaining all graduate student records for the Industrial and Systems Engineering ( ISE) department. This role involves assigning students to faculty advisors, releasing advising holds, and managing processes related to student course selection, substitutions, transfer issues, matriculation, and graduation requirements. The Coordinator will access databases such as the Student Information System ( SIS) and schedule appointments for the Director of Graduate Students.
Key Responsibilities:
Student Records Management:

  • Maintain all ISE graduate student records.
  • Assign students to faculty advisors and release advising holds.
  • Admissions and Enrollment:

    • Process applications and provide status updates for applicants.
    • Assist with marketing and recruiting graduate students.
    • Manage enrollment processes, including dropping and adding courses.



  • RA/TA Management:

    • Hire and appoint RA/TA students each semester in coordination with faculty and staff.
    • Track GSSP eligibility, manage salary distribution, and maintain frequent communication with students.
    • Submit payments via GA-1 form, fellowship forms, scholarships, or awards.


  • Data Management and Reporting:

    • Perform research, data collection, and analysis of information.
    • Utilize, reconcile, and manipulate data from various internal and external software systems.
    • Generate non-standard reports and develop internal processes.


  • Student Support and Advising:

    • Assist students with their plan of work and resolve conflicts within the program.
    • Serve as a liaison between the Graduate School, students, and the Director of Graduate Programs (DGP).
    • Process OIS forms (CPT, OPT, COD, Program Extensions, RCL, etc.).


  • Event Coordination:

    • Coordinate graduate orientation and events.
    • Assist ambassadors with orientation projects.


  • Communication and Training:

    • Conduct training for groups and individuals.
    • Mentor and assist others in various areas of technical expertise.


  • Special Projects:

    • Assist with special projects for the DGP, department head, and supervisor.
    • Assist with departmental events.



Other Responsibilities

  • Help with all departmental events.
  • Backup administrative staff in main office.

Qualifications


Minimum Experience/Education
Bachelor's degree; or an equivalent combination of training and experience.

All degrees must be received from appropriately accredited institutions.
Other Required Qualifications

  • Demonstrates effective written and verbal communication skills with close attention to detail. Strong writing skills are required.
  • Ability to work independently with strong organizational under the pressure of multiple priorities in a fast-paced environment.
  • Ability to interpret, effectively communicate and apply policies and procedures ensuring confidentiality.
  • Proficiency with Microsoft Office (Word and Excel) or similar software.

Preferred Qualifications

  • Knowledge of NC State policies and procedures.
  • Knowledge of the Student Information System (Next Gen) and other PeopleSoft systems (HR and Financials) or similar system.
  • Experience with business correspondence.
