Position Overview
Primary Purpose of Position |
The Associate Administrator's office is the central point for overseeing programming within Cooperative Extension at North Carolina A&T State University. Its core function is to guarantee the development and delivery of extension educational programs, products, and services that are high-quality, relevant, and impactful, utilizing diverse formats that align with the organization's vision. This office also ensures that programming objectives are consistent with the mandates of funding partners, including the
USDA, state government, and local government entities. It steers the organization's focus on essential programming competencies, evaluation, promotion, and strategic goals. The position facilitates coordination and connection with subject matter program leaders and program development specialists, while also providing oversight for the instructional design team, evaluation and accountability staff, program marketing support staff, and the organizational development manager. This office engages in collaborative efforts with North Carolina State University, our Cooperative Extension partner, to coordinate statewide programming and administrative actions related to the management and programming for staff located in Cooperative Extension county centers throughout the state. The position collaborates with diverse faculty, extension agents, and others in academic departments to ensure the alignment of research efforts and extension programming.
This role is expected to deliver critical administrative management support to the Associate Administrator. This includes managing the calendar, coordinating travel, planning and organizing meetings both on campus and across the state, and providing support for major regional, statewide, and national Cooperative Extension events. It also serves as a liaison with organizational partners and stakeholders. |

The Cooperative Extension Program at North Carolina Agricultural and Technical State University is an educational outreach organization within the College of Agriculture and Environmental Sciences. Cooperative Extension at A&T provides researched-based educational information, programming and technical assistance to limited-resource audiences that address a diverse range of issues in four programmatic areas - Agriculture and Natural Resources, Family and Consumer Sciences, Community and Rural Development, and 4-H Youth Development. Together with its partners - North Carolina State University Cooperative Extension Service, U.S. Department of Agriculture, state and county governments, a dynamic and resourceful system is formed. In addition to campus operations, The Cooperative Extension Program has professionally staffed offices in almost half of the 100 counties in North Carolina and the Eastern Band of Cherokee Indians. |

- Applies substantive knowledge of the North Carolina Cooperative Extension System and its programs. The correct application of knowledge is essential to managing the duties of this position.
- Knowledge of the Extension Reporting System (ERS), One-Stop Shop is another key function of this position because of the level of interaction in the system.
- Knowledge of the 1890 land-grant system is needed to fully support the office of the Associate Administrator.
- Organize and manage the workflow within the unit. This position assists with the planning and implementation of conferences, workshops and training. There are times when this position will be required to travel to provide technical assistance.
- Independently coordinates the management of day-to-day functions related to the Associate Administrator's office.
- Serve as liaison between the Associate Administrator and the Administrators office and subordinate units by relaying instructions and information and following commitments through to completion.
- Interacts and communicates with a strong degree of judgement.
- Coordinates faculty, search committee meeting appointments, candidate travel and itineraries, approval and reimbursement of expenses and faculty recruitment database management

- Maintains and coordinates the Associate Administrator's calendar. This position is the liaison for key organizational meetings, events and ensures that the office has full understanding of the meeting agenda.
- Coordinates, attends, and organizes all monthly procedural meetings and project production meetings. Delivers pertinent information about program development and production at meetings of the various Cooperative Extension units.
- Arranges program development and instructional design training for staff including making all arrangements for trainers. Position is primary contact for partnership with a NC State Extension counterpart of large events such as State Extension Conference, Annual First Night Appreciation for County Commissioners, Faculty Staff institutes, District trainings.
- Organize and manage deadlines and help manage the flow of work and help to formulate procedures and processes for staff to follow to make work more effective and efficient.
- Must be able to interpret and follow purchasing and travel guidelines.
