Position Summary

Performs a range of essential office support activities
for a unit/department, such as answering phones and directing calls, greeting
and directing visitors, answering questions, performing routine clerical, data
entry, and/or word processing work, and assisting with departmental projects
and events.

DUTIES
AND RESPONSIBILITIES:

  1. Front
    office support. Answers telephones, routes calls, takes messages, and
    provides general information; greets and directs visitors; answers routine
    inquiries; maintains a log of inquiries as required. Responsible for
    opening and closing administrative office.
  2. Knowledge
    of meeting rooms and media lab operating systems, including AV.
  3. Monitor
    and manage the CEA and CIVIL email accounts.
  4. Opens,
    processes, and routes incoming mail and packages; distributes
    correspondence and other material to department staff/faculty/students.
    Includes package notification prompts for distribution and accepting
    packages, as well as scanning packing slips into purchase files.
  5. Performs
    a variety of routine typing assignments as appropriate to the position;
    may operate a personal computer to draft basic correspondence, department requisitions,
    data entry, and print letters, labels, reports, and/or other materials.
  6. Copies
    and/or duplicates materials as requested, may oversee the day-to-day
    operation of the copy machine; may prepare and transmit facsimiles for the
    unit.
  7. Establishes,
    maintains, processes, and/or updates hard copy and electronic files,
    records, and/or other documents.
  8. Processes
    transactions that are routine clerical/administrative and
    accounting-related in strict accordance with established procedural
    guidelines as appropriate to the position.
  9. Filing
    and processing reimbursements. Filing purchase requests.
  10. Grant
    Index Data Retrieval.
  11. Check
    receiving and depositing.
  12. Schedule
    or assist in scheduling department appointments, meetings, room
    reservations, events, and/or conferences, and course classrooms as
    appropriate to the position.
  13. Order,
    stock, and distribute office supplies.
  14. Office
    maintenance, which includes cleaning rooms maintained by the department.
  15. Assists
    with planning and programming for departmental events and other projects.
  16. Assists
    with general lifting and physical activity expected for facilities and
    event support.
  17. Submits
    university work orders.
  18. Assists
    with printing and office copier operations.
  19. Processing
    key requests and swipe card access forms.
  20. Run
    various routine errands, as required, for the unit/department.
  21. Assists
    with work order submittals for university-related services.
  22. Inventory
    support.
  23. Assists
    with maintaining and completing departmental forms for processing various
    transactions.
  24. Performs
    miscellaneous job-related duties as assigned.

Minimum Qualifications

Enrolled in a degree seeking program at UNM, Enrolled at least half-time (6 hours) at UNM for fall and spring semesters (Audit hours do not count), and if Work Study, you must meet Satisfactory Academic Progress.



Preferred Qualifications

KNOWLEDGE,
SKILLS, AND ABILITIES REQUIRED:

  • Ability to understand
    and follow specific instructions and procedures.
  • Word processing and/or
    data entry skills.
  • Ability to prepare and
    print routine correspondence, labels, and/or other basic written material.
  • Skill in the use of
    operating basic office equipment.
  • Receptionist skills.
  • Ability to maintain
    calendars and schedule appointments.
  • Records maintenance
    skills.
  • Knowledge of specific
    computer programs, such as Microsoft Office and UNM systems/apps such as
    Lobomart, Chrome River, etc.
  • May require student be a
    major in a specific department or field.
  • May require a minimum
    GPA.
