Procurement Specialist II Location: Hybrid, Birmingham, Michigan, USA Employment Type: Full-Time Compensation: $78,500.00 -$98,000.00 (Range applies to US candidates only) + Benefits/Variable Comp/Equity - Range may vary based on experience. Benefits Offered: Vision, Medical, Life, Dental, 401K Summary OneStream Software is looking for a Procurement Specialist II who will support the Indirect & IT Procurement strategy and operation initiatives. In this position, the individual will be responsible for specific indirect procurement categories, as well as IT procurement categories, which include software/hardware assets, software licensing, and software applications. Overall, the role will include, but not be limited to, monitoring all upcoming expirations, software license compliance, contract terms, conditions, negotiations, pricing, and execution of related contracts and purchase orders. Primary Duties and Responsibilities
- Primary partner to work alongside functional teams and colleagues in order to assist with developing statements of work (SOWs), requests for information (RFIs), requests for quotations (RFQs), and requests for proposal (RFPs).
- Lead and manage the purchasing activities for assigned categories.
- Support the purchasing of software licensing and hardware; ensure appropriate quantities and licensing models are purchased by partnering with IT Services Team and other Business Stakeholders.
- Develop and implement procurement strategies to achieve cost savings, quality improvements, and delivery efficiencies.
- Support the IT Services Team and Business Stakeholders by engaging in various meetings related to existing.
- applications, new IT purchases, forecasted additional products/services, and terminating existing applications.
- Collaborate with Risk management to ensure risk management practices are aligned to mitigate contractual risk present in many vendor agreements.
- Ensure that vendors are either meeting or exceeding their contractual obligations by delivering quality solutions/services on time.
- Assist with the adherence to procure to pay policies, identified objectives, procedures, templates and workflow processes for vendor contracts and deliverable schedules.
- Build/manage a contract repository to contain all executed contracts, as well as contracts that are under development but are not yet active.
- Collaborate with asset management requirements. Participate in assigned efforts concerning software license procurement, management, and termination or vendor audits within assigned IT Categories.
- Oversee daily operational requirements at a vendor level which could include but is not limited to invoice payments, service/goods completion confirmation and timely contract renewals.
- Coordinate commercial and financial arrangements with vendors to include billing, invoicing, performance incentives, where appropriate and in conjunction with the policy and procedures established by finance
- Develop strong relationships and a high level of trust with management, business owners and finance procurement.
- Conduct periodic vendor reviews/evaluations/audits that consider various performance levels as well as the provider relationship.
- Understand relevant market trends and vendors as they apply to OneStream's roadmap and existing supply base.
- Effectively communicate a clear and concise overview of vendors (summary of key contract terms, risks, opportunities and service delivery guidelines) to key stakeholders, and provide clarity on contract elements when required.
- Act as primary liaison for Procurement to ensure pricing is competitive for vendors.
Required Education and Experience
- Bachelor's degree in Business, Supplier Chain Management or related field (or equivalent field).
- 5+ years of experience in procurement, supply chain, business administration, or related discipline.
- Past experience in Indirect Procurement categories is required.
- Preferred experience in corporate buying of IT hardware, software licensing, SaaS application and services is a plus.
- Expertise in supplier management and contract management.
Preferred Education and Experience
- Experience with the following technologies:
- SharePoint sites and Microsoft Office suite (Word, Excel, PowerPoint, Visio, Access, etc.).
- Microsoft Office 365.
- Microsoft Azure.
- Knowledge of Coupa Software for Procure to Pay process a plus.
Knowledge, Skills, and Abilities
- Excellent negotiations and communication skills.
- Strong analytical skills with the ability to manage data to make informed purchasing decisions.
- Strong presentation and communication skills, with the ability to clearly and concisely communicate ideas, outcomes, and impact using data to support claims.
- An ability to maintain performance under tight timelines and a desire to dig into new and complex organizational challenges.
- Able to manage multiple priorities.
- Ability to maintain a high level of accuracy in preparing and entering financial information.
- Knowledge of generally accepted accounting principles.
- Strong sense of customer service.
- Collaborate effectively with cross function teams.
