Who we are looking for


Purpose

The Systems and Processes Lead will provide strategic and operational project management support for high-priority global medical initiatives. This role focuses on designing, optimizing and integrating medical systems, processes, and tools to enhance operational efficiency, ensure compliance, and support GMA's objectives. Management of Medical-specific and compliance-sensitive steps of some systems and processes are also key role responsibilities.

  • Document Management: Veeva MedComms (US) / Veeva MedComms (EU/Int) / Hermes
  • KOL Mapping and Engagement Planning: Konectar (US), Veeva LNK (EU/Int)
  • Congress Planning and Management: Spreadsheets (Medical and Commercial), Teams channel for approval
  • ISS Management: Grants portal and Simple Dam (US), Simple Dam only (EU/Int)
  • Grants Management (e.g., IME): Versaic
  • Other Study Type Management: Registries


Main Responsibilities

Systems and process development and integration



  • Medical Systems and Tools development and management: Drive the definition, implementation, and optimization of medical systems to enhance operational effectiveness

    • Identify and validate system needs and gaps with MALT and Medical stakeholders
    • Manage selection, development and integration of prioritized Medical systems
    • Serve as the Medical representative on cross-functional and enterprise system projects
    • Develop and facilitate training of Medical, Shared Services and cross-functional teams (as needed) on Medical systems




Process definition and development



  • Establish and continuously improve core medical processes, such as grants management, initiation of investigator-sponsored studies (ISS), and compliance workflows

    • Identify and validate process needs and gaps with MALT and Medical stakeholders
    • Collaborate with Global Medical teams (e.g., Medical Communications, Regional Field Medical) and cross-functional partners to develop and communicate optimized processes (e.g., ISS, educational grants, HCP contracting)
    • Ensure consistency between Medical processes and supporting systems
    • With MALT, identify where updates to SOPs are needed across Medical processes, and work with MALT members or delegates to update
    • Develop and facilitate training of Medical, Shared Services and cross-functional teams (as needed) on Medical systems




System and process management



  • Monitor system performance, utilization and facilitate updates to support evolving organizational needs
  • Generate periodic and ad hoc reports aligned to GRD Medical KPIs
  • Provide oversight to Shared Services staff as needed to ensure correct and compliant system use


Experience Required

  • 5+ years of progressive experience in project management, medical/commercial operations, medical/commercial excellence or a similar role within the pharmaceutical, biotech, or healthcare industry
  • Expertise in project management tools and systems
  • Strong technical acumen in the design and development of systems, including CRM, grants management, and workflow automation tools
  • Knowledge of medical, pharmaceutical, or healthcare processes, including regulatory requirements and compliance standards
  • Proven ability to develop, implement, and optimize Standard Operating Procedures (SOPs) and establish compliant processes aligned to regulatory requirements and industry best practices
  • Highly organized with strong workload planning skills, capable of balancing multiple priorities in a fast-paced environment
  • Self-directed and autonomous
  • Good written and verbal communication abilities


Education

Bachelor's degree required; advanced degree in a related field (e.g., Life Sciences, Business Administration) preferred
