The Sr. Administrative Associate will be responsible for:
  • Leading and directing secretarial, clerical, and administrative support services, including work schedules, ensuring conformance with hospital policies, and recommending internal office systems and procedures. Assisting in the development and implementation of departmental administrative policies.
  • Monitoring and maintaining recordkeeping systems, overseeing data input into databases, and generating reports. Evaluating and implementing system changes as necessary.
  • Monitoring and reconciling budgets and department expenses, resolving discrepancies, and preparing reports and documents for annual budgets, grant applications, and other administrative or research purposes.
  • Organizing daily administrative operations, including payroll, compliance reports, and employee actions. Initiating and tracking administrative forms like purchase orders and payment requisitions.
  • Coordinating fellowship and residency programs, monitoring application materials, and scheduling interviews. Managing credentialing, licensure, and appointment documents.
  • Planning and organizing logistics for seminars, conferences, and special events. Securing supplies, equipment, and services, and preparing program materials and registration.
  • Scheduling meetings, managing supervisor's calendar, preparing agendas, and arranging travel accommodations.
  • Monitoring department inventory, authorizing standard supply and repair purchases, and coordinating services with support departments.
  • Transcribing and editing documents, including financial and clinical materials, proofreading for accuracy, and preparing responses to correspondence.
  • Managing invoicing and billing, handling high-level financials such as paper check deposits, and billing for consults and patient services. Supporting the medical directors with credentialing, licensing, and certifications. Assisting with timekeeping (Kronos), reviewing documents, and taking meeting minutes.

Schedule: M-F, 7:00A-3:30p

To qualify, you must have:

  • High School Diploma/GED
  • Two years of related experience. Healthcare administration experience preferred
  • Analytical skills to resolve problems that require the use of basic scientific, mathematical, or technical principles.
  • Ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations.
