Under the supervision of the Benefits Supervisor, the Benefits Analyst reconciles benefits data to ensure accuracy and alignment between benefits enrollments, payroll deductions, and vendor invoicing. This role involves performing regular audits, resolving discrepancies, and working closely with payroll, finance, and benefits vendors to maintain accurate records and ensure compliance with company policies and regulatory requirements. The Benefits Analyst generates and analyzes reports related to benefits costs and enrollments, providing critical support for decision-making and financial planning.

Essential Duties And Responsibilities

Within a team environment, this position will perform the following responsibilities:

Benefits Data Reconciliation (80%)

  • Perform regular reconciliation of benefits data, ensuring that employee enrollments, changes, and terminations are accurately reflected in HCM benefits system, payroll records, and vendor systems.
  • Work closely with payroll and finance departments to ensure that benefits deductions, contributions, and adjustments are correctly processed and aligned with employee pay cycles.
  • Conduct audits of benefits enrollments, deductions, and payments to ensure compliance with plan documents, regulations, and company policies.
  • Investigate and resolve any discrepancies between benefits data, payroll deductions, and vendor invoicing, ensuring timely and accurate resolution of issues.
  • Generate and analyze reports related to benefits expenses, enrollments, and reconciliations to support decision-making by the HR and finance teams.

403(b) Plan Data Reporting (20%)

  • Ensure the accurate maintenance of retirement plan data, including employee contributions, eligibility, vesting schedules, and enrollment status. Ensure records to reflect changes in employee participation or plan options.
  • Generate and analyze retirement plan reports for internal stakeholders, regulatory filings, and plan audits. Ensure compliance with federal, state, and plan-specific regulations by maintaining proper documentation and reporting.
  • Collaborate with retirement plan vendors or administrators to ensure accurate data transmission, resolve discrepancies, and manage employee inquiries regarding retirement plan details, contributions, or account balances.

Non-Essential Duties And Responsibilities

These duties include tasks that are required and comprise less than 5% of daily functions for this job:

  • Analyze and respond to complex matters requiring comprehensive knowledge of benefits policies and procedures.
  • Perform research and analysis on projects as requested.
  • Attend, participate, and/or plan department, program, staff and other meetings as necessary.
  • Complete other related duties as assigned.

Job Specifications

Minimum Required

  • Education and Experience:

BA/BS in Business, Human Resources, or related field from four-year College or University or equivalent, and 3 years of progressive experience in benefits administration, human resources, analytics or related role,

or any equivalent combination of education and experience that would support successful performance of the essential job functions of this role.

  • Technical Requirements:
    • Proficient computer skills, including comprehensive knowledge of Microsoft Office Suit. Demonstrated experience with HRIS systems.
    • Strong analytical skills, an attention to detail, and can collaborate effectively across the organization.

  • Behavioral:
    • Effective written and verbal communication and interpersonal skills. Able to interface with others in an effective, open and tactful manner.
    • Demonstrated ability to establish and maintain effective, cooperative, and diplomatic working relationships with colleagues, supervisors, external contacts with funding sources, and the public.
    • Advanced analytical and problem-solving skills. Attention to details and strong organizational skills essential. Demonstrates ability to work with and attend, participate, and/or plan department, program, staff and other meetings as necessary.

    • Background check required. As a grant-funded Agency supporting Children and Family Services, CCRC conducts background checks commensurate with the role to verify candidate qualifications (criminal history, employment history / experience, education, reference checks) and ensure grant compliance. Specific roles may have additional verification / clearance to the standard background check as part of the recruitment and selection process, including:
    • Live Scan Clearance / DOJ Fingerprinting: For positions working directly with the public in a child/ community care or child / community care adjacent setting (CA Health and Safety Code Section 1596.871 and/or Head Start Program Performance Standards 1302.90).
    • Health Clearance: For positions working directly with the public in a child/ community care or child / community care adjacent setting or working with "at risk" populations, CA Code of Regulations Title 22, *101216, CA Health and Safety Code 1596.7995, and/or Head Start Program Performance Standards 1302.93)
    • MVR / DMV clearance in accordance with CCRC's liability insurance provisions: For positions where driving is required.
    • Child Development Permit: For positions working in an educational capacity (California Education Code Sections 44242.5, 44340, and 44341)
    • CPR / Pediatric CPR certification: For certain identified positions working directly with the public in a child/ community care or child / community care adjacent setting (CA Health & Safety Code 1596.865 - 1596.866)
    • Federal Debarment Checks: For positions acting in a principal capacity to federal funds (Head Start Program Performance Standards 1304.11, Code of Federal Regulations Title 2 Grants and Agreements 2.180.320 and 2.180.995)

  • Experience: Experience in working for a nonprofit organization preferred. Workday experience preferred.
