Responsibilities

Empower AI: As the Program Assistant, provides senior program administrative support for a large scale IT program. Supports a Program Management Office (PgMO) with all aspects of support to include, coordinating daily PgMO activities, customer and teammate interface and coordination of all daily/weekly reporting activity to the end customer. Assists the PgMO Manager as liaison between the program and corporate resources.

Highlights of Responsibilities:

    Performs preliminary analysis of the task order related requirements, uploads information into internal knowledge management system and triggers notifications to internal stakeholders and business partners
  • Handles meeting relevant tasks; including but not limited to: soliciting agenda items, planning, coordinating and facilitating internal and external meetings; distributing meeting documentation to attendees; preparing and distributing meeting minutes; controlling follow-up of action items derived from each meeting
  • Facilitates communication between all relevant teams through regularly scheduled meetings and notification of changes in assignment status
  • Monitors database for ticklers on project milestone reporting, including deliverables and managing documents and files
  • Prepares documents and reports such as weekly status reports, monthly status reports, and briefings
  • Coordinates travel and travel approvals for all program personnel
  • Assists in event planning, coordination, and management as required
  • Coordinates, monitors, and reports status of contract/task order activities
  • Performs quality control on task order specific administrative deliverables
  • Assists the team in development of presentation material, including PowerPoint presentations, as requested
  • Assists with contract and project transition activities
  • Performs other administrative duties as assigned


Qualifications

Minimum Requirements:

  • Secret security clearance
  • Bachelor's degree
  • 4-9 years of administrative or management experience
  • Knowledge in Microsoft Office tools, including Word, Excel, Teams, Project, and PowerPoint.

Preferred Qualifications:

  • Information Technology Information Library (ITIL) Foundation certification or higher
  • Project Management Institute (PMI) Project Management Professional (PMP) or Program Management Professional (PgMP) certified
  • DoD Cyber Workforce Framework (DCWF) IT Project Manager qualified (DCWF 802)
  • GSEC or Security+ certified, or higher
  • Experience supporting Army Information Technology programs

Physical Requirements:

  • Sitting for long periods
  • Standing for long periods
  • Ambulate throughout an office
  • Ambulate between several buildings
  • Stoop, kneel, crouch, or crawl as required
  • Travel by land or air transportation 10% or less
