Coordinates and schedules maintenance activities utilizing a Computerized Maintenance Management System (CMMS) to ensure the timely and efficient operation of facilities and equipment. Works closely with maintenance technicians, supervisors, and other departments to prioritize and schedule work orders, track progress, and ensure compliance with safety, healthcare regulations and quality standards.

$24-27/hour

MAJOR RESPONSIBILITIES & DUTIES:

  • Reviews and prioritizes incoming work orders based on urgency, criticality, and available resources.
  • Creates and maintains accurate records of work orders, including tasks, locations, required parts, and estimated time for completion.
  • Assigns work orders to appropriate maintenance technicians and ensure all resources (tools, materials, personnel) are available for completion.
  • Monitors the status of open work orders and update schedules accordingly.
  • Reviews completed work orders to ensure that all relevant data is accurately entered into the maintenance management system.
  • Develops and manages daily, weekly, and monthly maintenance schedules to ensure optimal resource allocation.
  • Coordinates with various departments, including production and facilities, to minimize downtime and disruptions to operations.
  • Adjusts schedules as needed based on unplanned events, such as emergency repairs, staffing changes, or supply shortages.
  • Ensures proper communication of scheduled work to all affected personnel and departments.
  • Ensures that preventive maintenance tasks are scheduled and completed on time to minimize equipment downtime and extend the lifespan of assets.
  • Monitors and adjusts preventive maintenance schedules based on equipment performance and maintenance history.
  • Provides regular updates on work order status to management and key stakeholders.
  • Communicates with maintenance teams to ensure tasks are understood and progress is tracked.
  • Prepares and maintains reports on work order completion, downtime, and equipment performance.
  • Collaborates with the inventory team to ensure required materials and parts are available for scheduled maintenance work.
  • Monitors inventory levels for frequently used parts and ensure reordering processes are in place to avoid delays in maintenance activities.
  • Ensures all maintenance activities comply with health, safety, environmental, and regulatory standards.
  • Maintains accurate documentation for audits, inspections, and reporting purposes.
  • Identifies opportunities for improving the work order scheduling process to increase efficiency and reduce downtime.
  • Works with the maintenance team and management to optimize workflows, eliminate bottlenecks, and improve overall performance.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Strong organizational and time-management skills.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Attention to detail and accuracy in record keeping.
  • Knowledge of maintenance practices and equipment maintenance terminology.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and CMMS software.

REQUIRED QUALIFICATIONS:

  • High school diploma or equivalent required.
  • Minimum of 3 years of experience in maintenance scheduling or related field required.
  • Possess a valid driver's license with a good driving record required.
  • Pass an annual Motor Vehicle Registration (MVR) check required.

PREFERRED QUALIFICATIONS:

  • Associate's degree or higher in Maintenance Management, Industrial Engineering, or related field preferred.
  • Experience with computerized maintenance management systems (CMMS) is highly preferred.

PHYSICAL REQUIREMENTS, EQUIPMENT USAGE, WORK ENVIRONMENT:

  • Office environment with occasional visits to maintenance sites or facilities. Ability to sit or stand for extended periods. Ability to lift up to 30 pounds on occasion. May require some walking, bending, and reaching.
