The Patient Representative will be the initial clinic contact with patients and families. They are responsible for managing patient and family encounters smoothly and efficiently to maintain business operations and assure excellent customer service. The Patient Representative will coordinate patient arrivals, reconcile appointments and reconcile encounter forms and charge information utilizing Milli Scheduling System and Medical Records. They will greet patients and visitors, manage a multi-line phone, route calls as appropriate and function as a support for patient scheduling. This position will electronically generate the daily patient schedule and requisitions, manage the Patient Tracking System and charge process. A high priority is placed upon customer service and maintaining accurate billing information for Clinic Patients.
Job Responsibilities:
- Clinic Patient and Billing System Operation Duties. Generate patient list (schedule) daily; generate patient requisition as needed; verify that patient has completed the daily registration process; manage the electronic Patient Tracking System by entering service start time and end time and editing for no-shows or cancellations as needed; manage the electronic charge process as needed by review for accuracy and completeness, reconciling and correcting form errors or omissions, and verifying that a charge exists for every encounter; maintain sufficient levels of forms and office supplies by performing on-line ordering for appropriate items and receiving orders and reconciling with packing slip; manage the electronic Patient Classification and Staffing System (PCCS), perform data entry of the patient acuity assigned by the nurse, and generate reports as requested/needed; process mail (hard copy and electronic mail distribution); prepare and compose documents to include preparing all necessary patient forms and requisitions with proper identification; complete required continuous training and education, including department specific requirements.
- Patient Scheduling Support. Assist in contacting patients regarding scheduled appointments or follow-up, or contact families for related items as directed; evaluate returned appointment cards, contact patient to verify/update address information in PowerChart, assure patient is aware of scheduled dates and times as needed; provide patients with schedules in person or via phone call or mail as dictated by the scheduling policy as needed; monitor portal message and forward to accurate staff as needed; assist in maintaining demographic information for outside appointments as needed. Customer Service and Communication Duties; greet patients, families and staff in a professional and friendly manner; assist patients, families and staff with non-clinical inquiries and scheduling inquiries; provide physician and clinic staff information and assistance in a timely and professional manner; monitor waiting room environment for cleanliness and family disposition; identify spills, odor, or defective furniture or fixtures and notify appropriate department/representative; identify change in family and or patient disposition and immediately notify appropriate clinical staff; answer phones system, handle and/or direct call to appropriate area, placing calls only as requested; effectively utilize all appropriate applications of the Milli, and Outpatient Tracking systems; effectively manage dynamic, potentially stressful patient encounters; maintain working knowledge of all office equipment; build valuable relationships with internal and external customers; and train new employees as needed on aspects of the role.
- Performs other related duties as assigned or directed to meet the goals and objectives of the department and the institution

Minimum Education and/or Training:
- High School graduate or GED (General Education Development)
- Computer and business coursework or training required
- Associate's degree is preferred. Medical terminology preferred
Minimum Experience:
- Four (4) years general office experience, with at least one-year electronic scheduling and billing experience is required with a high school diploma or equivalent
- No experience is required with an Associate's degree
- Customer experience required. Bilingual preferred
Compensation In recognition of certain U.S. state and municipal pay transparency laws, St. Jude is including a reasonable estimate of the compensation range for this role. This is an estimate offered in good faith and a specific salary offer takes into account factors that are considered in making compensation decisions including but not limited to skill sets, experience and training, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be hired at or near the top of the salary range and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current salary range is $22.00 - $38.50 per hour for the role of Patient Representative.
