As the primary client liaison and program lead, you'll oversee the full planning and execution of assigned meetings and events - from post-contract through final billing. You'll be responsible for bringing strategy to life, delivering on client objectives, and flawlessly managing logistics every step of the way. This role is all about building strong client relationships, understanding their goals, and delivering exceptional service that exceeds expectations. You'll collaborate closely with clients to ensure every program is purposeful, well-executed, and impactful.

Please Note: This is a hybrid role that sits in our Fenton, MO headquarters.

50% - Process Management

  • You'll take the lead in managing programs and events from start to finish - beginning with the contract handoff and ending with final billing. You'll use our business event management system to keep everything on track and organized. That includes coordinating details with both suppliers and clients, arranging site visits as needed, and building comprehensive itineraries and working agendas that capture every requirement. You'll also partner with our accounting team to finalize billing, review invoices, and ensure everything is documented properly according to company policies and procedures. Special projects may also come your way - keeping things fresh and interesting.

30% - Relationship Management

  • You'll be the primary day-to-day contact for clients, working closely with them to ensure their goals are met and expectations are exceeded. Communication is key in this role - you'll maintain a proactive and positive relationship with each client, keeping them informed every step of the way. From project kickoff through execution, you'll host regular status meetings with clients and key stakeholders to keep everyone aligned and the event running smoothly.

20% - Financial Management

  • You'll be responsible for maintaining accurate financial details in our business systems, ensuring real-time updates on budget status. You'll manage the overall program budget, carefully review all billing to ensure accuracy, and provide clients with regular updates on expenses and any budget changes. You may also handle supplier payments and reconciliation, ensuring every financial detail is accounted for.

Qualifications

  • Bachelor degree or equivalent experience required.

  • 1-3 years of experience in event or meeting management including budget maintenance desired.

  • Destination knowledge and/or prior experience with hotel sales is a plus.

  • Prior experience in developing and maintaining key client and supplier relationships desired.

  • Excellent computer skills, knowledge of Microsoft Office tools & ability to learn new technology quickly.

  • Prior experience in effectively handling multiple projects/demands.

  • Ability to travel approximately 20%.
