What Will You Do: Payroll Management
Accountable for the entire payroll process from start to finish for US and Canada. Responsible for timely and accurate processing, delivery, and reconciliation of payroll. Directs and oversees the team's production of regular and special payroll runs. Oversee pre and post payroll auditing procedures and troubleshoot issues, implementing corrective actions to eliminate the root cause of issues. Oversee tax and regulatory reporting, including month-end, quarter-end and year-end payroll activities. Lead the cross-functional year-end project plan. Manage payroll vendors, software, and systems (e.g., Workday, SAP, OSV, etc.) to ensure smooth operations.
Team Leadership and Development
Lead and mentor a team of payroll analysts - coach, teach, guide, motivate, and inspire the team, set goals, assign projects, and ensure deadlines are met. Possess strong supervision/coaching skills to ensure the team is developing in their duties and growing in their role.
Compliance and Reporting
Ensure compliance with all relevant reporting standards including taxes, tax filings, garnishments, and interfaces. Evaluate pay practices to ensure compliance with country-specific, federal, state, and local wage and hour laws. Establish and maintain internal controls and participate in control audits by internal and external partners.
Collaboration and Communication
Build relationships and collaborate with customers and HR partners, facilitate a customer-centered approach to resolve issues, apply service level agreements, and implement process changes as needed. Collaborate with partnering teams to develop and implement core and common processes and improvements to scale and drive efficiency. Collaborate with Accounting and Finance teams on allocations and general ledger needs and discrepancies, including reconciliation and periodic reporting requirements.
Technical Skills and Expertise
Create, review, and maintain reliability and validity of department Standard Operating Procedures (SOPs) and manuals for payroll systems and all payroll-related procedures, policies, records, processes, protocols, and standard business practices to ensure consistency in operations and maintain workflows across teams. Payroll lead for semi-annual Workday releases, completing regression and enhancement testing. Reviewing new functionality and determining impact, requesting implementation priorities for payroll. Generate and analyze various payroll reports for HR, Finance, and other stakeholders. Track payroll-related trends and provide actionable insights to leadership.
Customer Service
Respond to employee inquiries related to payroll, deductions, compensation and time. Ensure inquiries are responded to and resolved promptly with a high level of customer satisfaction. Leads troubleshooting for complex and escalated payroll issues, working with leadership as needed. Conduct root cause analysis and implement preventative measures, in addition to educating the organization on best practices to prevent ongoing issues.
Minimum Qualifications:
Bachelor's degree in Accounting, Finance, Business Administration, or equivalent work experience in payroll. Minimum 7 years of payroll experience, with at least 3 years of experience managing, leading, and developing a payroll team. Proficiency in Workday with strong Excel skills and expertise in payroll reporting. Deep knowledge of U.S. and Canada payroll regulations, including multi-state tax laws and compliance requirements. Strong supervision and coaching skills to ensure the team is developing in their duties and growing in their role. Strong analytical abilities to interpret complex payroll data and drive actionable insights. Outstanding communication and interpersonal skills, with the ability to provide excellent service to employees at all levels and translate technical concepts for diverse audiences. Strategic mindset with sharp problem-solving skills and keen attention to detail. Ability to remain flexible in a fast-paced, constantly evolving environment. Expertise in payroll tax compliance, system balancing, and best practices for internal controls. Must be based in the U.S.; immigration sponsorship is not available.
Preferred Qualifications:
7+ years of payroll management experience, with proven expertise in overseeing multi-country payroll operations. Ability to interact effectively with multiple levels of management within the organization. Ability to work well independently and be a collaborative team player. Exceptional organizational skills with the ability to manage multiple tasks efficiently in a dynamic setting. Certified Payroll Professional (CPP) designation. Prior experience in project management, driving payroll-related initiatives to completion.
