Patient Concierge Project Manager

Illingworth Research Group provides a range of patient focused clinical services to the pharmaceutical, healthcare, biotechnology and medical device industries. These include mobile research nursing, patient concierge, medical photography and clinical research services. Job responsibilities



  • Manage a portfolio of projects, overseeing the day-to-day delivery of Illingworth services on global projects. Accountable for all project deliverables for each project assigned.
  • Ensuring compliance with project time and quality standards, in accordance with the appropriate policies, standard operating procedures (SOPs), Good Clinical Practice (GCP), and all applicable regional and regulatory requirements. Responsible for inspection readiness for their portfolio.
  • Acts as a primary liaison between the Company and the Customer to ensure timely study start-up, conduct, and close-out according to the Customer's and the Company's contractual agreement.
  • Oversee the development, review, and finalisation of project-related documentation, materials and plans. Lead the process of updating the documentation or creating new content where necessary throughout the duration of the project based on protocol amendments or scope changes.
  • Coordinate activities and deliverables of all study conduct partners and proactively identify and manage issues. Liaising with global internal stakeholders and create vendor partnerships based on the needs of the project, including couriers, translation, and third-party nursing services.
  • Accountable for the financial performance of each project. Holding a clear understanding of the study budget and its scope, managing it to the point of completion and reconciliation. Preparing accurate financial and activity long-term forecasts and reporting actual performance against forecast with justification and context.
  • Review, approve, and track project time and expenses against deliverables and budget allowances. Collaborate with the Project Accounting Team and other internal stakeholders to ensure accurate and timely preparation and approval of project invoices.
  • Identify changes in scope against the budget and timelines and lead the negotiation between client and internal teams for approval of Change Orders (COs). Ensure all COs are executed in a timely and efficient manner.
  • Anticipate, identify, and document potential risks to the project. Develop contingency plans and risk mitigation strategies to ensure successful delivery of study goals. Continue monitoring, documenting, and mitigating risks through the life cycle of the project.
  • Lead and oversee issue management through effective investigation, reporting, and follow-up of corrective actions in collaboration with relevant stakeholders. Escalate significant issues to the Associate Director, Project Delivery.
  • Continuously assess and lead the management of the project health and performance, reporting overall progress throughout the life cycle of the project to internal and external stakeholders.
  • Maintain effective communications between Illingworth business units, clients, sites, and vendors. This includes leading meetings and composing clear email communication with notes of discussion points and action items in a timely manner.
  • Oversee the site engagement and contracting processes to promote and ensure good uptake of Illingworth services. Collaborate with other Illingworth departments to develop and grow the service and team. Develop strong relationships with current clients to generate new and/or add-on business for the future.
  • Provide project-specific training for nurses, Project Coordinators (PCs), and other any other applicable team members assigned to the projects and oversee their work.
  • Accountable for the maintenance of study information on a variety of trackers, databases and systems, based on the needs of the project.
  • Lead in gathering feedback and conducting lessons learned throughout the project life cycle, in collaboration with the Illingworth project team, the client and other relevant stakeholders, to build, maintain and share a knowledge base that informs process improvement.

Qualifications

What we're looking for



  • Minimum 2 years project management experience.
  • Minimum 2 years previous experience in clinical research (e.g., research nursing, trial management, healthcare, biomedical/life sciences).
  • Thorough understanding of ICH-GCP and clinical trials regulations and governance.
  • Ability to work effectively, independently, and collaboratively, to tight timelines.
  • Ability to prioritise and manage multiple tasks and projects.
  • Excellent organisational, problem-solving, and analytical skills.
  • Excellent interpersonal communication and presentation skills, both written and spoken.
  • Detailed knowledge of the Microsoft Office software suite and an ability to embrace new technologies.
  • A strong focus on customer service, project delivery and collaboration.
