Organizational Unit Overview |
This position is assigned as Administrative Support Associate to the Department of Computer Science through the College of Technology and Computer Science at East Carolina University. This department serves as a vehicle for the Bachelor of Arts, Bachelor of Science and Master of Science in Computer Science as well as the new Master of Science in Software Engineering. The primary purpose is the education of undergraduate majors and graduate majors in computer science. The department currently consists of approximately 81 undergraduate majors and 18 graduate majors. The department has 11 full time faculty, including a department chair. Other purposes include research, service, and faculty and student support. |
Job Duties |
Office Manager: 25%
As the primary Office Manager, the position assists department faculty, supervises student workers, orders office supplies and specialized supplies for the labs; and ensures that office equipment is in operating order.
Budget Manager:15%
As the primary Accounts Manager, the position will also manage the F&A accounts budget and the budget accounts listed in the description above (state operating account, Foundations Funds account, research account, and scholarship account). In addition, this position recommends to the Chair the distribution of funds within the accounting lines on each budget, which will keep budget lines from going into a negative balance.
Administrative Assistant:20%
As the primary assistant to the Chair, the position maintains the Chair's electronic calendar daily and responds independently to emails, letters, and general correspondence. Position will assist the Chair in responding to personnel action requests from the
CET Dean's Office. In addition, the position collects and curates' data for the department's annual newsletters, collects and organizes data for annual faculty evaluations, creates a preliminary annual evaluation document for each faculty using a standardized template, and schedules biannual Industry Advisory Board meetings.
Graduate Assistantship Support: 10%
The position collaborates with the Department Chair and Graduate Director to manage the department's graduate assistantship funding and tuition remission allocations. In addition, the position submits all hiring paperwork to the appropriate offices and completes EPAFs to initiate payroll actions. The position also assists with visa paperwork for international students.
Grants Coordinator: 10%
As the primary Grants Coordinator, the position also identifies any key issues and potential problems in eTRACS that may require attention by the department chair prior to approval and maintains records (files, emails) related to proposals and awarded grants.
Student Services and hiring coordinator: 20%
As student services and hiring coordinator, the position also collaborates with several departments across campus (
CET Academic Advising Center and the
ECU Graduate School, the
CET Dean's Office, Academic Affairs, Payroll Office,
POSO, Materials Management, International Affairs, and other relevant university offices). In addition, the position collaborates with the department chair to enter course schedules into Self-Service Banner (
SSB), ensuring accuracy and identifying scheduling conflicts or other errors. |
Minimum Education/Experience |

Preferred Experience, Skills, Training/Education |
Knowledge of Microsoft Word, Excel, Powerpoint and basic office equipment knowledge.
Preferred experience in Banner Systems;
INB and
SSB and
EPAF for personnel actions and with student services.
Ability to work effectively with students, faculty, staff and non-university public.
Good communication and telephone skills. Ability to work independently with multiple tasks in pleasant and professional manner. |
