The Gift Services Assistant is a member of the Boston Children's Hospital Trust Gift Services team, which is responsible for the processing of all fundraising revenue for the Hospital. The Gift Services Assistant is responsible for entering and retrieving donor information on an extensive database, processing mail, and preparing checks for deposit. Tasks are completed with a high degree of accuracy and efficiency, requiring an understanding of financial internal controls and compliance, and in collaboration with senior positions across the Trust and Hospital Finance. The Gift Services Assistant is a detail-oriented team player with excellent verbal, written language, organizational, and problem-solving skills.

This Gift Services Assistant will:

  • Create or edit records on existing database, ensuring that all records conform to standards established by the Gift Services department.
  • Open, sort, and process mailed donations. Process credit card transactions for gifts received by phone and through caging returns.
  • Prepare checks for deposit, including sorting, date stamping, copying, appropriate distribution, adding and totaling checks/cash, and reconciling deposits.
  • Enter gifts through batch entry in database, ensuring accuracy of amounts and codes and that gifts are directed by donor intent.
  • Prepare and send receipts to donors. Provide customer service to donors and respond to donor gift inquiries under the guidance of team manager.
  • Escalate problems, potential discrepancies, or entry issues to manager as needed.
  • Provide general administrative duties for the team, including return check letters, declined credit card letters, and other duties as assigned.

To qualify, you must have:

  • High School Diploma/GED plus at least 4 years of experience in banking or a financial institution that includes completing financial transactions, account research, and customer service.
  • Associate's degree preferred and may substitute for work experience.
  • Basic analytical skills and judgment to interpret data and take the appropriate action in varied circumstances.
  • Excellent verbal, written language, organizational and problem-solving skills
  • Strong customer service orientation
  • Team player with the ability to work independently.
  • Solid computer skills, including familiarity with general software programs (MS Office) and the ability to learn and use databases and web-based systems.
