General Information:

The Center for Advancement Research in Education (JMU CARE) at James Madison University (JMU) is accepting applications for a full-time Administrative Assistant to provide fiscal and administrative support to the JMU CARE Director.

Duties and Responsibilities:

* Serve as the primary point of contact for the Center, effectively managing inquiries from faculty, students, staff and other stakeholders, ensuring prompt and professional responses.
* Provide administrative support to the JMU CARE Director by managing calendars, scheduling appointments, drafting correspondence, taking minutes in JMU CARE meetings, etc.
* Provide fiscal support for JMU CARE budgets, travel approvals/reimbursements in the Chrome River system, monthly budgetary and small purchase credit card (SPCC) Visa financial reconciliations.
* Organize and maintain JMU CARE fiscal, purchasing, and administrative files and records (paper and electronic) according to JMU policies and procedures.
* Coordinating JMU CARE event logistics such as reserving meeting rooms, securing hotel and transportation reservations, managing catering orders, etc.
* Provide procurement services using the JMU small purchase credit card and eVA (Virginia's web-based procurement system) to support the efficient operation of the Center.
* Maintain the inventory of supplies and equipment used by JMU CARE, ensuring that resources are readily available to support our programs and activities.
* Offer additional support to other faculty and staff working with JMU CARE as needed, contributing to a collaborative and efficient work environment.

Qualifications:

The successful candidate will possess the following:
- Highly-developed organizational skills
- Excellent attention to detail
- Demonstrated ability to excel in a complex and fast-paced environment
- Strong written and verbal communication skills
- Demonstrated high level of professionalism
- Ability to manage confidential and sensitive information
- Previous related experience, preferably in a higher education setting
- Excellent time management skills and ability to complete work and tasks independently
- Understanding of best practices in office administration contributing to a well-organized and effective office
- Fluency in the Windows and Macintosh computer operating environment using Microsoft Office software

Preferred Qualifications:
- Experience facilitating hybrid meetings
- Experience with event coordination
- Familiarity with the following software systems: eVA (procurement), Chrome River (travel) PeopleSoft Finance
- Familiarity with state and university travel and procurement regulations and policies
- Familiarity with the grant application process as well as grant budget development and maintenance
- Willingness to participate in related trainings to develop relevant competencies is highly preferred
