The Student Affairs Business Office (
SABO) plays a crucial role in supporting the operational needs of the Division of Student Affairs by ensuring efficient financial and human resource management. As a vital liaison between various stakeholders, including the University Procurement team, students, suppliers, and community partners, we facilitate smooth transactions and communication to maintain seamless service delivery.
Our primary responsibilities include processing payments for departments within Student Affairs, managing budgets, addressing all HR-related concerns, overseeing building operations, and upholding university policies and procedures. By troubleshooting accounting and HR issues, our office ensures that financial and personnel matters are handled promptly and in compliance with institutional standards. Additionally,
SABO manages the professional development portfolio for the division and oversees the communication efforts.

Rutgers University- Newark (RU-N), an urban public research university and anchor institution, located in Newark, New Jersey, a city of promise is seeking a Business Assistant I. Reporting to the directly to the Business Manager, Dean of Students, the Business Assistant supports the Student Affairs Budget Office as well as the student organizations with financial accounting, student organizations' payment processing, training, and office management.
This position is responsible for and not limited to the following:
- Provides backup support for the Director of the Business Office in the absence of the Business Manager
- Serves as a front-line staff for student organization inquiries, questions, and concerns regarding financial policies and procedures
- Works collaboratively with advisors to address student organization issues and facilitates timely communication to address financial matters
- Manages the office space and ensures professional service is provided to all guests
- Serves as backup to the Business Manager, Dean of Students and completes all tasks as assigned by the Director and Business Manager
- Manages and directs the procurement process for all assigned departmental areas within the Dean of Students suite with a solid understanding of the Purchasing and University procurement system
- Evaluates contractual requirements to determine the need for quotes, sole source/bid waivers for services & supplies as needed
- Responsible for the payroll and onboarding of new student employees into the HCM/ PeopleSoft applications
- Conducts final review of payroll for all hourly employees to ensure the payroll is accurate and there are no data entry errors

Qualifications
Minimum Education and Experience |
- Requires a bachelor's degree in a related field, or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of financial management, accounting, organization, and customer service.
- Minimum of two years of relevant experience working in office setting, preferable in higher education.

- Requires good communication skills and computer literacy.
- Experience with financial accounting, tracking, accounts payable, and reporting systems.
- Familiarity working with diverse student populations.
- General office management/clerical skills, bookkeeping and payroll.
- Advanced Excel and database skills required.

Preferred Qualifications |
- Strong knowledge with diverse populations. This is necessary to adequately serve the student population that this department serve.
- Knowledge of Rutgers University Data warehouse systems.
- Demonstrated competence in the use of spreadsheet and database software in financial analysis, fiscal management, and financial reports.
- Demonstrated knowledge of generally accepted accounting, fiscal, and reporting principles.
- Ability to take initiative and independently, plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved.
- Ability to analyze data, information, and objectives; identify patterns, concerns, issues, problems, needs, tendencies and relationships; formulate logical and objective conclusions; recognize alternatives and their implications; and make sound decisions or recommendations.
- Ability to anticipate problems and to address them proactively.
